Position: Program Analyst / Correspondence Coordinator

Location: 100% onsite - Arlington, VA

Clearance: Active Secret Required


About the Role

The Program Analyst / Correspondence Support Coordinator Support Senior Department of Defense leaders through precise correspondence management, administrative coordination, research, reporting, and executive-level meeting support.

Make an impact in a high-visibility, fast-paced environment where accuracy, judgment, and responsiveness matter. As a key member of an executive correspondence team, you will keep senior-level work moving by coordinating information, managing correspondence and suspense items, preparing briefing materials, supporting meetings and travel, and delivering reliable research and reports. You will collaborate across Department of Defense organizations and implementing agencies while handling sensitive information with discretion and close attention to detail.

What You'll Do

  • Provide administrative support by coordinating information, conducting research, analyzing data, and producing reports from systems such as the Defense Security Assistance Management System (DSAMS).
  • Prepare briefing materials and provide logistical support for meetings, correspondence routing, and travel.
  • Manage incoming and outgoing correspondence, suspense tracking, tasking, reviews, and edits using automated systems and tools.
  • Review CATMS on NIPR and SIPR and route tasks to the appropriate agency.
  • Maintain current knowledge of OUSDP and component missions, programs, plans, goals, and objectives, including their relationships with other DoD and OSD organizations and operations.
  • Develop recommendations for correspondence templates and help keep the component directives program current.
  • Identify current and long-range requirements; evaluate issues, status, and trends; and generate clear reports for decision-makers.
  • Recognize complex management and administrative challenges and recommend practical, creative solutions that improve organizational efficiency and effectiveness.
  • Advise teams on administrative and agency requirements for correspondence packages.
  • Coordinate Director and Deputy Director signatures, retain signed copies, and return completed packages to the office of primary responsibility.
  • Maintain accurate distribution lists and support DSCA mail operations, including mail runs to the Pentagon.
  • Help safeguard resources through effective internal controls and protect classified material in accordance with DoD and records-management policies and procedures.

What's Required

  • An active Secret Clearance. A government background investigation will be conducted on selected applicants to determine whether they qualify for access to classified information.
  • Bachelor’s degree in international relations or a related field.
  • One to three years of recent experience supporting senior-level DoD staff at the flag-officer-equivalent level.
  • Exceptional attention to detail and a strong commitment to quality control.
  • Ability to manage multiple priorities with minimal supervision in a highly visible, high-operational-tempo environment.
  • Proficiency with Microsoft Office applications.
  • Preferred Experience

    • Security cooperation or international cooperation, including experience with DSCA, Foreign Military Sales, or International and Partner Programs.
    • Experience working with Title 10 and Title 22 authorities.
    • Familiarity with DSAMS, CATMS, NIPR, and SIPR environments.


    Compensation: The pay range for this job is determined by various factors, including but not necessarily limited to location, responsibilities of the job, and alignment with market data. When determining a salary for this role, the following factors may be taken into consideration: contract-specific affordability, education, knowledge, skills, competencies and experience. The estimate displayed represents the salary range for this position and is just one component of ODRG's total compensation package for employees. It is not necessarily reflective of actual compensation that may be earned, nor a promise of any specific pay for any specific employee. The pay band for this position is $70-90k.
