We are currently seeking a Bus Greeter for our CYFS program. The Bus Greeter serves as a welcoming and professional first point of contact for families and loved ones utilizing the Osborne Association’s transportation program to correctional facilities throughout New York State. The Bus Greeter supports safe and organized departures, assists passengers with trip information and required documentation, tracks attendance, provides resources, and helps ensure a positive travel experience.

The Bus Greeter also provides part-time administrative support related to trip coordination, rider outreach, data entry, and communication with riders, staff, volunteers, and transportation vendors.

Working Hours: 20 hours per week Mon (9-5PM), Wed (9-1PM), Friday (8:30-11:30 PM), Sat & Sun (4:30AM-6:30AM) or 8:30-11:30 PM) time varies On-call

Salary: $26.00 per hour

Requirements:

Essential Duties:

  • Welcome families and passengers at designated pick-up locations with professionalism, compassion, and respect.
  • Assist with safe and organized boarding, including additional support for seniors, individuals with disabilities, and passengers requiring additional assistance.
  • Verify passenger identification, required travel documentation, destination, and pick-up location prior to boarding.
  • Review travel expectations, safety protocols, dress code requirements, and program guidelines with passengers.
  • Provide first-time travelers with appropriate orientation and program information, including the L.O.L. video.
  • Distribute snacks, Osborne materials, resources, and other trip-related items as needed.

Administrative, Data, and Trip Coordination

  • Respond to rider requests and inquiries regarding upcoming transportation and available trips.
  • Review rider requests and assist with scheduling participants for appropriate trips and routes.
  • Follow up with riders regarding registration, confirmations, cancellations, required documentation, and any issues affecting approval for the trip manifest.
  • Create, maintain, and update trip rosters, participant records, attendance, and trip information in Salesforce/ECM.
  • Read, create, maintain, and update spreadsheets used for trip scheduling, rosters, attendance tracking, and reporting.
  • Ensure attendance and required trip documentation are accurate and submitted within established timelines.
  • Prepare trip confirmations and itineraries and communicate relevant travel information to participants.

Communication and Departure Support

  • Respond professionally to participant inquiries by phone, email, and the Grasshopper communication system.
  • Coordinate with staff, volunteer greeters, and transportation vendors to support organized and timely departures.
  • Maintain communication with families and riders regarding trip updates or changes.
  • Monitor the boarding process, address concerns as they arise, and report incidents according to established procedures.

Program and Administrative Support

  • Maintain knowledge of Osborne Association programs and community resources and connect families with appropriate information when needed.
  • Provide administrative backup and support for transportation-related activities as needed.
  • Assist with transportation vendor coordination for upcoming facility visits as assigned.
  • Support community outreach, special projects, and program activities as needed.
  • Gather participant and family feedback to support service quality and participant satisfaction.

Minimum Qualifications:

  • High School Diploma or equivalent required.
  • Strong customer service, hospitality, and interpersonal communication skills.

Key Competencies:

  • Ability to read, create, maintain, and accurately update spreadsheets, trip rosters, and attendance records.
  • Experience with data entry, email, spreadsheets, and electronic recordkeeping systems preferred.
  • Comfortable using Excel, Salesforce/ECM, or similar electronic data systems.
  • Strong organizational skills and ability to manage multiple responsibilities in a fast-paced environment.
  • Ability to communicate professionally and compassionately with families, riders, staff, volunteers, and transportation vendors.
  • Ability to maintain confidentiality and professionalism when working with families impacted by incarceration.
  • Bilingual English/Spanish skills are highly preferred.
  • Experience in community-based programs, transportation services, hospitality, or human services is a plus.
