Job Description
The File Processing Manager is responsible for leading the daily file processing operations for client, vendor, and internal data exchanges. This role oversees a team of file processors responsible for receiving, validating, importing, exporting, reconciling, and troubleshooting data files. The manager ensures files are processed accurately, securely, and within required service-level timelines.
This position requires strong leadership, data-processing knowledge, attention to detail, process discipline, and the ability to work with IT, operations, compliance, client services, reporting, and external clients to resolve file issues quickly and accurately.
Requirements:File Processing Operations
- Manage the daily processing of inbound and outbound client files.
- Oversee file imports, exports, placements, recalls, payments, adjustments, demographic updates, account status changes, balance updates, and client reporting files.
- Ensure all files are processed according to client specifications, internal procedures, regulatory requirements, and required deadlines.
- Monitor scheduled file processing jobs and confirm successful completion.
- Review file exceptions, rejected records, failed imports, missing files, and data validation issues.
- Ensure reconciliation of file totals, record counts, dollar amounts, and control totals.
- Maintain file processing calendars, daily production schedules, and client-specific requirements.
- Ensure file naming conventions, folder structures, file retention, and transmission procedures are followed.
- Coordinate urgent file corrections or reprocessing when errors occur.
Team Management
- Supervise, train, and support file processors and data operations staff.
- Assign daily work based on file schedules, priorities, client requirements, and team capacity.
- Review team performance for accuracy, timeliness, productivity, and adherence to procedures.
- Provide coaching, feedback, and corrective action when needed.
- Cross-train team members to reduce dependency on individual employees.
- Maintain coverage plans for vacations, absences, after-hours work, and client-critical processing windows.
- Promote accountability, attention to detail, and ownership of assigned files.
Quality Control and Compliance
- Develop and enforce quality control procedures for all file processing activities.
- Ensure sensitive consumer and client data is handled securely and confidentially.
- Support compliance with company policies, client requirements, SOC 2, PCI, FDCPA, HIPAA where applicable, and other regulatory standards.
- Review exception reports and confirm issues are resolved before files are finalized.
- Maintain audit-ready documentation of file processing steps, approvals, exceptions, and corrections.
- Ensure proper escalation of data issues, security concerns, or client-impacting processing failures.
- Identify and correct recurring file processing issues.
Client and Internal Communication
- Communicate file status, delays, exceptions, and processing issues to internal stakeholders.
- Work closely with client services, operations, IT, reporting, compliance, and development teams.
- Participate in client onboarding, file layout review, testing, and production implementation.
- Assist with client requests related to file status, data discrepancies, missing files, or rejected records.
- Translate client file requirements into clear internal processing instructions.
- Escalate client-impacting issues timely and provide updates until resolution.
Process Improvement
- Review current file processing workflows and identify opportunities for automation, standardization, and error reduction.
- Create and maintain standard operating procedures, job aids, checklists, and client-specific processing documentation.
- Partner with IT and development teams to improve file automation, validation logic, exception reporting, and monitoring.
- Track recurring errors and implement preventive controls.
- Recommend improvements to file transfer processes, reconciliation controls, reporting, and team workflows.
- Support testing of new file layouts, system upgrades, client conversions, and process changes.
Required Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 3–5 years of experience in file processing, data operations, client data management, collections operations, financial services, or similar environment.
- 1–3 years of supervisory or team lead experience preferred.
- Strong understanding of file processing workflows, including imports, exports, validations, exceptions, and reconciliations.
- Experience working with CSV, TXT, Excel, delimited, and fixed-width file formats.
- Strong excel skills, including filtering, formulas, formatting, data review, and reconciliation.
- Ability to read and interpret file layouts, mapping documents, and business rules.
- Strong attention to detail and ability to identify data inconsistencies.
- Ability to manage multiple priorities, daily deadlines, and time-sensitive file schedules.
- Strong written and verbal communication skills.
- Ability to document procedures clearly and train others.
- Understanding of secure file transfer methods such as SFTP, FTP, encrypted email, or secure portals.
Preferred Qualifications
- Experience in the collections, ARM, BPO, banking, lending, healthcare, telecom, or financial services industry.
- Experience with Latitude or similar collection management systems.
- Basic SQL knowledge for researching records, validating counts, and troubleshooting file issues.
- Experience with automation tools, job scheduling, file monitoring, or workflow management systems.
- Familiarity with client onboarding and file testing processes.
- Knowledge of data security, privacy, and compliance requirements.
- Experience managing offshore, remote, or multi-site teams.
- Experience creating SOPs, audit documentation, and production control processes.

Work Environment
This role operates in a deadline-driven environment where accuracy, timeliness, and data security are critical. Some after-hours, weekend, or holiday support may be required for urgent client files, system issues, month-end processing, or production escalations.
