Job Description
The HR Assistant provides broad, hands-on support across the HR Operations function, working closely with the HR Generalist to process employee data changes, maintain compliance documentation, and will help support recruiting, benefits, payroll-adjacent, and reporting tasks. This role is designed as a growth position: the HR Assistant will be cross-trained across the full scope of the HR Generalist role, with the intent of building the knowledge and readiness to step into that role in the future.
Key ResponsibilitiesEmployee Data & Records- Process employee data changes in ADP (address, department, status, pay/position updates)
- Maintain accurate, up-to-date employee files and documentation.
- Assist with building and processing federal and state required reports.
- Support unemployment administration tasks (claims documentation, responses, tracking).
- Help maintain compliance documentation and audit-readiness across employee records.
- Provide administrative support for 401(k) plan administration tasks as needed.
- Assist with benefits-related administrative tasks as needed, in coordination with the Benefits & Leave Administrator.
- Serve as a front-line point of contact for employee questions, directing or resolving routine HR inquiries to support faster turnaround and better service to employees.
- Support the HR team with day-to-day administrative and transactional processing needs.
- Assist with special projects and process improvements as assigned.
- Help maintain HR department files, templates, and recurring reporting.
This role is the first step in a planned progression toward HR Generalist. As the HR Assistant demonstrates proficiency, responsibilities will expand toward full ownership of the HR Generalist scope (employee data changes, ADP/system administration, compliance documentation, federal/state reporting, unemployment administration), preparing for a future transition into that role.
Qualifications- High school diploma or equivalent required; associate's or bachelor's degree in HR, business, or related field a plus.
- No prior HR experience required — entry-level role; strong attention to detail, discretion with confidential information, and a service mindset are the priority.
- Comfortable learning HRIS/payroll systems (ADP experience a plus, not required).
- Strong organizational skills and ability to manage multiple transactional tasks with accuracy and timeliness.
- Clear, professional communication with employees at all levels.
