Payroll Consultant

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Payroll Consultant based in the United States.

As a Payroll Consultant, you will manage end-to-end payroll processing for multiple clients across a diverse, multi-state environment.
You will oversee payroll cycles ranging from weekly and bi-weekly to semi-monthly and monthly, ensuring accurate and timely delivery.
The role combines payroll expertise, client relationship management, compliance, data analysis, and process improvement.
You will serve as a trusted point of contact for clients, providing guidance on payroll practices, resolving issues, and maintaining strong relationships.
You will also collaborate with tax, benefits, HRIS, and other internal teams to address complex payroll matters and ensure regulatory compliance.
Working with modern payroll technologies, you will identify opportunities to improve efficiency, automate processes, and strengthen operational controls.

Accountabilities
  • Process payroll for multiple clients across weekly, bi-weekly, semi-monthly, and monthly payroll schedules.

  • Validate payroll inputs, including earnings, deductions, taxes, adjustments, and employee data, to ensure accuracy.

  • Review and balance payroll before finalization and transmission, ensuring deadlines and client requirements are consistently met.

  • Manage off-cycle payrolls, bonuses, adjustments, and other special payroll processing requirements.

  • Serve as the primary payroll contact for an assigned portfolio of clients, maintaining strong relationships and high levels of client satisfaction.

  • Communicate payroll timelines, requirements, status updates, and issue resolutions clearly and proactively.

  • Provide consultative guidance on payroll best practices, processes, and compliance requirements.

  • Ensure payroll activities comply with applicable federal, state, and local regulations.

  • Support tax filings, amendments, quarterly activities, and year-end processes, including W-2s and Form 941-related activities.

  • Monitor legislative and regulatory changes that may affect client payroll operations.

  • Audit payroll inputs and outputs to identify discrepancies, variances, or potential compliance issues.

  • Investigate and resolve payroll errors, client questions, and processing issues efficiently.

  • Collaborate with tax, benefits, HRIS, and other internal teams to resolve complex payroll matters.

  • Use payroll platforms such as UKG Pro, ADP, Workday, or comparable systems to process and manage payroll.

  • Maintain payroll configurations, earnings and deduction settings, employee data, and other system information.

  • Identify opportunities to automate manual activities and improve payroll efficiency and accuracy.

  • Create and maintain standard operating procedures and other payroll processing documentation.

  • Track time accurately across clients, projects, and payroll cycles while meeting utilization and billable-hour expectations.

  • Support workload forecasting and capacity balancing across the client portfolio.

  • Consistently deliver a high level of service by anticipating client needs, providing proactive guidance, and exceeding expectations where possible.

Requirements
  • 3–5+ years of experience processing payroll for multiple clients, preferably in a multi-client or consulting environment.

  • Strong experience managing multiple payroll frequencies, including weekly, bi-weekly, semi-monthly, and monthly cycles.

  • Solid knowledge of multi-state payroll taxation and applicable federal, state, and local payroll requirements.

  • Hands-on experience with payroll systems such as UKG, with experience in comparable platforms also considered.

  • Strong attention to detail and a high degree of accuracy when working with sensitive financial and employee information.

  • Ability to manage multiple payroll deadlines and client priorities simultaneously while maintaining quality and compliance.

  • Strong analytical, organizational, and problem-solving skills.

  • Excellent client service and communication skills, with the ability to explain payroll matters clearly to a variety of stakeholders.

  • Ability to investigate discrepancies, identify root causes, and resolve payroll issues efficiently.

  • Strong ability to work independently while collaborating effectively with internal teams.

  • Experience with year-end payroll activities, including W-2 preparation, audits, corrections, and related processes, is a plus.

  • Certified Payroll Professional (CPP) certification is preferred.

  • Experience working in a managed services or consulting environment is advantageous.

  • A completed degree from an accredited university is preferred but not required.
