Responsibilities:
- Communicate effectively with corporate management, administrative personnel, and medical staff across the health system.
- Answer clinic phone calls and direct them to theappropriate department.
- Schedule patient appointmentsin accordance withdaily provider quotas, ensuring efficient appointment management.
- Check in patients and notify the clinical staff of their arrival.
- Collect fees for servicesrenderedandassistin checking patients out.
- File and organize patient charts in the Records Room, ensuring proper documentation and easy retrieval.
- Confirm patient appointments for the following day as assigned.
- Assistin processing and sending patient chart information to theappropriate entities, ensuring all required authorizations are obtained, documented, and filed.
- Submit record requests to other entities with properly executed patient authorization forms, documentingactionsand filing requests in the patient’s chart.
- Assistin verifying patient eligibility for sliding scale fees, ensuring proper documentation.
- Support patient billing tasks as assigned by the Clinic Manager and/or Medical Operations Director.
- Balance the day sheet and manage cash, checks, and credit card receipts.
- Keepan accuratedaily postage log.
- Assistinmaintainingan efficient and smooth clinic front office, performingadditionaltasks as needed, as directed by the Clinic Manager orDirectorof Medical Operations.
- Escalate complex scheduling, patient concerns, and unresolved issues to the Senior Front Desk Associate (Medical) orleadership perprotocol.
- Maintain regular and predictable attendance to support clinic operations.
- Other duties as assigned.
Required Skills/Abilities:
- Strong verbal and written communication skills to effectively interact with patients, staff, and external entities. Ability to answer phone calls, route inquiries, and communicate clearly across all levels of the organization.
- Exceptional interpersonal skills to provide a positive experience for patients, manage patient inquiries, and handle sensitive situations with professionalism and empathy.
- Ability to manage multiple tasks, such as scheduling appointments,maintainingpatient records, and processing payments, while ensuring accuracy and efficiency.
- Strong focus on accuracy when handling patient charts, verifying eligibility, processing authorizations, and managing financial transactions.
- Ability to prioritize tasks in a fast-paced, dynamic environment, ensuring that all duties are completedin a timely manner.
- Proficiencyin using electronic health records (EHR) systems, scheduling software, fax machines, and other office equipment. Familiarity with billing and appointment scheduling tools is a plus.
- Knowledge of HIPAA and patient confidentiality standards to ensure sensitive patient information is handled and shared appropriately.
- Ability toidentifyissues or inefficiencies and find solutions, whether in scheduling, patient interaction, or handling operational challenges.
- Ability to work well with other clinic staff, administrative personnel, and medical teams to create a cohesive and effective work environment.
- Ability to adjust to changing priorities, processes, and patient needs, ensuring continued smooth clinic operations.
- Experience handling cash, checks, credit card transactions, andbalancingday sheets accurately.
- Ability to manage multiple responsibilities simultaneously whilemaintaininghigh standardsof service and accuracy.
Education/Experience:
- High School Diploma or GED; some college is preferred.
- A minimum of 6 months experience in a customer service position required; previous experience in a healthcare administrative environment preferred.
- Customer Service: Proven experience in a customer service or patient-facing role,demonstratingexcellent communication skills and a professional demeanor.
Physical Demands:
- Ability to remain standing for extended periods during patient check-in/check-out processes or whileassistingat the front desk, and to sit for extended periods while handling administrative tasks, such as scheduling appointments or processing records.
- Ability tolift upto 25 pounds, such as boxes of medical supplies, patient charts, or other materialsrequiredfor clinic operations.
- Frequent walking between various areas of the clinic, such as patient waiting areas, clinical rooms, and administrative offices.
- Ability to reach for files, office supplies, and equipment, both at ground level and above head height.
- Ability to bend, stoop, and squat when filing records, managing equipment, orassisting withpatient needs.
- Use ofhands and fingers for tasks such as data entry, filing documents, operating office equipment (phones, fax machines, computers), and handling patient records.
- Ability to see clearly for tasks such as reading medical records, processing forms, and entering data into computer systems.
- Ability to hear patients, team members, and phone calls to ensure effective communication, including the ability to discernimportant detailsin conversations.
