Position SummaryThe Sales & Operations Coordinator serves as a critical link between Sales, Parts, Production, and Logistics, ensuring customer projects move efficiently from quote to delivery. This position is responsible for coordinating order flow, managing vehicle logistics, maintaining accurate documentation, and supporting an exceptional customer experience throughout the sales process.
The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where managing multiple priorities and communicating effectively across departments is essential. This role requires strong follow-through, problem-solving abilities, and a commitment to helping projects stay on track while delivering outstanding service to our customers.
Core ResponsibilitiesSales Order & Project CoordinationManage and distribute incoming quote requests.
Enter and maintain work orders and customer purchase orders.
Close completed sales orders and ensure all required documentation is completed accurately.
Run exception reports, identify orders requiring attention, and coordinate resolution.
Support the sales team by tracking order status and facilitating communication between departments.
Help ensure customer projects move efficiently from order entry through final delivery.
Coordinate incoming and outgoing vehicle logistics.
Manage driver schedules and coordinate deliveries with freight providers.
Perform final quality checks on completed vehicles prior to delivery.
Conduct end-of-day lot inspections to ensure vehicles are properly staged and secured.
Communicate delivery timelines and updates to internal teams and customers as needed.
Order and manage customer-specific inventory and parts requirements.
Work closely with support staff to ensure customer-specific parts are received, organized, and stored in designated locations.
Support inventory accuracy through proper tracking, documentation, and organization.
Assist in identifying and resolving inventory-related issues that could impact project timelines.
Process and distribute vehicle documentation, including second-stage MSOs.
Maintain accurate records for orders, deliveries, inventory transactions, and customer projects.
Support continuous improvement initiatives that enhance efficiency, communication, and customer satisfaction.
Assist with additional administrative and operational projects as needed.

Proficiency with ERP systems, Microsoft Office, and related business software.

High school diploma or equivalent required.
Vocational, technical, or associate degree preferred.
Valid driver's license required.
Based at the Evansville headquarters with occasional travel to other company locations as needed.
Frequent interaction with customers, suppliers, freight providers, and internal departments.
Combination of office, production, and vehicle lot environments.
Salary: $55,000 – $70,000 annually, based on experience
