This role is designed for a highly organized and proactive professional who thrives in fast-paced, executive-level environments. You will play a critical role in enabling senior leaders to operate efficiently by managing complex calendars, coordinating high-stakes meetings, and ensuring seamless day-to-day operations. Acting as a trusted partner, you will support communication flow, travel planning, and cross-functional alignment across multiple teams and time zones. The position requires strong judgment, discretion, and the ability to prioritize competing demands in a dynamic, high-growth organization. You will also contribute to improving productivity through the use of modern collaboration tools and AI-enabled workflows. This is a highly visible role that directly supports executive effectiveness and organizational execution.
- Manage complex executive calendars across multiple time zones, resolving scheduling conflicts and prioritizing competing business demands.
- Coordinate internal and external meetings, leadership reviews, offsites, and cross-functional events to ensure smooth execution.
- Arrange domestic and international travel, including itineraries, accommodations, transportation, and expense tracking.
- Prepare agendas, presentations, reports, and follow-up materials to support effective decision-making and execution.
- Serve as a primary point of contact between executives and internal or external stakeholders, ensuring clear and professional communication.
- Track action items, deadlines, and key deliverables to maintain alignment and accountability across teams.
- Handle confidential and sensitive information with the highest level of discretion and professionalism.
- Support operational workflows and administrative needs to improve executive productivity and efficiency.
- Leverage productivity and AI tools to streamline communication, documentation, and scheduling processes.
- Minimum of 4+ years of experience supporting senior leaders or executives in fast-paced, complex environments.
- Strong organizational, prioritization, and multitasking skills with exceptional attention to detail.
- Excellent written and verbal communication skills with the ability to draft and edit executive-level materials.
- Proven experience managing complex calendars, travel coordination, and executive communications.
- High level of discretion and ability to handle confidential and sensitive information.
- Proficiency with Google Workspace, Microsoft Office Suite, Slack, and other collaboration tools.
- Experience working in remote or distributed environments with strong self-management skills.
- Familiarity with AI tools (such as ChatGPT, Copilot, Claude, or similar) applied to professional tasks.
- Ability to work independently, anticipate needs, and adapt quickly in changing environments.
- Bachelor’s degree or equivalent experience preferred.
- Experience supporting leaders in SaaS, technology, or high-growth organizations is a plus.
- Competitive annual base salary range ($80,000–$140,000) plus discretionary bonus (up to 10%).
