About the role

The Clinical Secretary provides high-level administrative and operational support to clinicians within the consultation and clinic environment. This role ensures seamless coordination, exceptional patient communication, and efficient scheduling and administrative processes to support quality patient care.

What you'll do

  • Provide administrative and executive support to clinicians within consultation rooms
  • Coordinate patient appointments, procedure bookings, and clinician diaries
  • Deliver warm, professional patient interactions, including greeting and support
  • Manage clinical administration tasks including data entry, patient records, and billing support
  • Liaise with clinicians, nursing, laboratory teams, and internal stakeholders
  • Support embryo transfer processes and assist with clinic-specific procedures where required
  • Respond to patient enquiries and manage email and phone communications
  • Maintain stock levels of clinical and office supplies
  • Ensure strict confidentiality and adherence to healthcare regulations and protocols
  • Support education sessions, meetings, and occasional after-hours clinic activities

What we are looking for

  • Minimum 1–2 years’ experience in medical reception or healthcare administration
  • Strong customer service experience with a patient-focused approach
  • Intermediate computer skills and ability to manage multiple systems
  • Excellent communication and interpersonal skills
  • Ability to prioritise tasks and work both autonomously and as part of a team
  • Strong attention to detail and organisational skills
  • Empathy, professionalism, and commitment to patient confidentiality
  • Understanding of medical terminology and healthcare systems (advantageous)
