Job Summary:

The Lien Coordinator is an internal support role responsible for the early identification, verification, and management of all lien and subrogation interests in personal injury matters. This position is responsible for identifying and documenting existing liens through careful data review, lien tracking, and consistent documentation in the firm’s case management system. The ideal candidate is highly organized, detail-oriented, proactive, and committed to best practices in comprehensive lien discovery and verification, with limited direct client interaction.

Duties/Responsibilities:

  • Review intake materials, medical records, and treatment information upon assignment; create and prioritize task lists and coordinate with the assigned Damages Coordinator as needed.
  • Ensure accurate, complete, and timely entry of all case, medical, and lien-related data in the case management system, with ongoing verification as information is received.
  • Identify, document, and track all potential liens and subrogation interests, including health insurance, governmental, workers’ compensation, provider, statutory, and other applicable liens.
  • Generate, send, and follow up on Letters of Representation and related communications to confirm lien assertions, payoff amounts, and lien validity.
  • Maintain accurate lien tracking and documentation within the case management system, logging all actions, communications, and supporting documents on a same-day basis.
  • Adhere to firm timelines and service standards, proactively identifying issues and escalating lien-related risks to the Damages Coordinator.
  • Proactively identify and escalate lien-related risks or issues to support firm-wide risk mitigation.

Required Skills/Abilities:

  • Strong organizational and analytical skills with the ability to prioritize, solve problems, and manage multiple cases simultaneously.
  • Excellent written and verbal communication for reporting.
  • High ethical standards, attention to detail, and ability to handle sensitive/confidential information.
  • Exceptional attention to detail with strong organizational and communication/ follow-up skills.
  • Ability to manage high-volume, deadline-driven work independently.
  • Proficiency with case management software (e.g., Litify,) and Microsoft Office Suite.
  • Bilingual proficiency (English/Spanish) preferred.

Education and Experience:

  • Bachelor’s degree preferred; equivalent professional experience considered.
  • Minimum 2 years of experience in personal injury law, lien management, medical billing, or related paralegal work (plaintiff-side experience preferred).
