Location: Newcastle, WY | Department: Accounting | FLSA: Non-Exempt
Be the welcoming first step in every patient’s care journey.
As a Patient Account Representative (Registration/Admitting Clerk), you’ll greet and guide patients and families through the admission process with compassion, clarity, and confidence. You’ll collect and verify essential information, ensure paperwork is accurate, and help patients understand what to expect, so they feel supported from the moment they walk through our doors.

What You’ll Do
- Explain hospital regulations and processes, including visiting hours, account payments, and chargesEscort patients—or arrange escort—to the appropriate department
- Enter and verify admitting/registration information and ensure departments receive accurate patient details
- Maintain required records and documentation with accuracy and confidentiality
- Coordinate with other departments to support efficient patient flow and service delivery
- Use strong communication skills to build positive relationships with patients, families, providers, coworkers, and community partners
- Assist visitors with directions and introductions to support a welcoming environment
- Maintain a professional, organized, and clean workspace; replenish supplies as needed
- Participate in staff meetings and assigned trainings; support ongoing professional development
- Complete work assignments on time with the ability to work independently under normal supervision
- Report safety hazards and observe safety precautions; apply common-sense judgment and follow written/oral instructions, including equipment manuals
- Cooperate with other personnel to meet departmental objectives and maintain positive employee and interdepartmental relations
What We’re Looking For
- High school diploma or equivalent required; healthcare, business, or related coursework a plus
- Previous experience in patient registration, admitting, scheduling, billing, customer service, or a medical office preferred
- Knowledge of insurance processes, referrals, and prior authorizations (or willingness to learn quickly)
- Strong attention to detail with the ability to accurately enter, verify, and maintain patient information
- Excellent communication and customer-service skills; able to explain processes clearly and respectfully
- Ability to handle sensitive situations with professionalism, empathy, and discretion
- Comfortable using computers and multiple systems; able to learn registration/EMR and phone systems
- Organized and dependable; able to prioritize tasks, meet deadlines, and complete assignments on time
- Team-oriented with the ability to coordinate effectively across departments to support smooth patient flow
- Commitment to compliance, confidentiality (HIPAA), safety, and infection-control standards
- Ability to work independently with normal supervision
Physical Conditions
Prolonged periods of sitting at a desk and working on a computer.
Occasional after-hours calls may occur.
Positions requires light to moderate work with 50 pounds maximum weight to lift and carry.
Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing.
