Job Summary:

The Shipping & Schedule Coordinator is responsible for coordinating the administrative functions that support manufacturing operations, with primary responsibility for maintaining the production schedule and coordinating outbound shipments of finished products. This role serves as the communication hub between Production, Shipping, Sales, Purchasing, and Customer Service to ensure products are manufactured, scheduled, and shipped on time. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced manufacturing environment. Success in this role requires excellent communication skills, strong ERP system knowledge, and the ability to proactively identify scheduling conflicts and shipping constraints.

Requirements:

Duties/Responsibilities:

Production Scheduling

  • Maintain and update the master production schedule.
  • Communicate schedule updates to Production, Sales, Purchasing, and Management.
  • Assist in identifying production bottlenecks and scheduling conflicts.
  • Maintain accurate production records and work order status within our ERP system.

Shipping & Logistics Coordination

  • Coordinate outbound shipments of finished robots, spare parts, and customer orders.
  • Schedule freight pickups with Brokers of Dedicated Truckloads, LTL, small parcel, and specialized carriers.
  • Prepare shipping documentation including Bills of Lading, packing lists, commercial invoices, and shipping labels.
  • Coordinate domestic and international shipments while ensuring compliance with customer requirements.
  • Communicate shipment schedules and delivery updates with customers and internal departments.
  • Monitor shipment status and proactively resolve transportation delays.
  • Maintain shipping records and delivery documentation.

ERP & Manufacturing Administration

  • Complete ERP work order transactions and production step completions.
  • Release manufacturing work orders and distribute production documentation.
  • Enter and maintain production data within ERP system.
  • Generate reports supporting production scheduling and shipment performance.
  • Maintain manufacturing documentation and production records.

Cross-Functional Coordination

  • Serve as the primary administrative liaison between Manufacturing, Shipping, Purchasing, Customer Service, and Sales.
  • Coordinate order priorities to meet customer delivery commitments.
  • Assist with inventory transactions as they relate to production scheduling and customer shipments.
  • Participate in daily production meetings and communicate schedule changes.

Administrative Support

  • Process daily production labor entries as assigned.
  • Produce product identification labels using company software.
  • Assist with inventory cycle counts and inventory adjustments.
  • Provide backup support for production administration and shipping operations.
  • Perform other duties as assigned.

Required Skills/Abilities:

  • Proficient in Microsoft Office Suite, particularly Excel and Outlook.
  • Ability to prioritize multiple projects in a fast-paced manufacturing environment.
  • Demonstrates exceptional attention to detail with a commitment to maintaining accurate and reliable data.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Familiarity with Bills of Lading, freight documentation, and shipping software.

Education and Experience:

  • High School Diploma or equivalent (technical or vocational training preferred)
  • 1–2 years of experience in a manufacturing plant or warehouse position (preferred)

Physical Requirements:

  • Ability to perform frequent bending, lifting, and moving of materials
  • Lifting/carrying up to 25 lbs.
