• Conduct thorough, empathetic client consultations to assess skin type, medical history, aesthetic goals, candidacy for services, and color theory matching.

• Review referrals, medical clearances, supporting medical documentation, and client eligibility information when applicable prior to performing restorative tattoo procedures.

• Services involving areola restoration, scar camouflage, post-surgical restoration, reconstructive tattooing, or other restorative tattoo procedures may require physician referral, medical clearance, supporting medical documentation, or treatment authorization in accordance with payer requirements, client medical history, or approved clinical protocols.

• Maintain accurate, detailed client records, including intake forms, treatment notes, mapping diagrams, pigment records, informed consent forms, physician orders when applicable, and before-and-after photography within Holbrook's systems.

• Maintain all required informed consent forms, medical history questionnaires, referrals, medical clearances, supporting documentation, aftercare instructions, and treatment records within the client record.

• Provide comprehensive pre-care and post-care education to clients to ensure optimal healing and long-term retention.

• Screen clients for contraindications and refer clients to the appropriate healthcare provider when findings or concerns fall outside the practitioner's scope of practice.

• Assist clients seeking insurance reimbursement by providing treatment documentation and service records as permitted; however, the practitioner shall not guarantee insurance coverage, reimbursement, or payment determinations.

• Maintain professional standards of practice and perform services consistent with applicable laws, regulations, certifications, and organizational policies

2. Sanitation & Regulatory Compliance

• Maintain a pristine, organized, and highly professional treatment room that meets or exceeds all local and state biomedical safety standards.

• Ensure proper disposal of biohazardous waste and sharps in compliance with local, state, and federal regulations.

• Keep all individual professional licenses, health permits, and certifications active and up to date.

• Participate in quality assurance, compliance, infection prevention, risk management, and documentation review activities as required by Holbrook.

• Comply with all Holbrook policies related to documentation, infection control, privacy, risk management, and professional conduct.

• Maintain strict confidentiality regarding all client health information, photographs, and treatment records.

3. Client Experience & Brand Representation

• Represent The Spa at Holbrook professionally, providing a warm, polished, compassionate, and luxury-level client experience.

• Collaborate with the front desk reception team to ensure seamless client scheduling, check-ins, transitions, retail opportunities, and re-booking processes.

• Foster long-term client relationships through exceptional service, education, communication, and follow-up care.

• Demonstrates sensitivity and professionalism when serving older adults, individuals with disabilities, oncology survivors, post-surgical clients, and other special populations.

• Immediately reports safety concerns, incidents, adverse reactions, injuries, or client complaints in accordance with Holbrook policies.

• Serve as a positive ambassador for Holbrook's mission, values, and commitment to excellence.

4. Scope of Practice Standards

• Practice only within the scope of applicable education, certification, licensure, training, and organizational policy.

• Do not diagnose medical conditions, prescribe treatment, alter medical treatment plans, or represent cosmetic or restorative tattoo services as medical treatment unless operating under an approved physician-directed protocol.

• Responsible for obtaining and maintaining all required client consents, medical history information, referrals, medical clearances, and supporting documentation when required by policy, payer requirements, or approved clinical protocols.

• Do not guarantee insurance reimbursement, insurance coverage determinations, or payment by third-party payers.

• Services involving restorative tattooing, including areola restoration and scar camouflage, shall be performed in accordance with approved protocols and applicable regulatory requirements. Physician referrals, medical clearances, and supporting documentation may be required based upon client circumstances, payer requirements, or organizational policy.
