DFW Parts Manager

Reports to: Fleet Maintenance Manager

Department: Fleet Maintenance

The Parts Manager reports directly to the local Fleet Maintenance Manager and serves as the primary custodian of the fleet's parts lifecycle, inventory integrity, and supply chain operations. This role bridges the gap between hands-on shop operations and financial accountability by maintaining precise stock levels, managing high-value inventory, and negotiating vendor terms. Working in tandem with the maintenance team, you will ensure vehicle availability and rapid turnaround times while maintaining a strict focus on inventory turnover, cost-per-mile optimization, and asset preservation.

Position description:

The Parts Manager leads all fleet parts, inventory, and procurement operations to ensure technicians have the right parts at the right time while maintaining strict financial controls. This role is responsible for vendor management, inventory accuracy, cost optimization, warranty administration, and compliance with safety and environmental standards to maximize fleet uptime and operational efficiency.

General responsibilities

  • Negotiate pricing, rebates, payment terms, and supplier agreements with OEM and aftermarket vendors to maximize value.
  • Manage supplier performance through KPIs including fill rates, lead times, warranty processing, and quote accuracy.
  • Maintain inventory using Just-In-Time (JIT) principles while ensuring critical fleet components remain available.
  • Oversee ordering, receiving, stocking, issuing, warranty returns, and core processing for all fleet parts.
  • Ensure all issued parts are accurately recorded in the maintenance management system and assigned to the correct work orders.
  • Monitor inventory budgets, reconcile invoices, audit core credits, and generate inventory and cost reports.
  • Conduct cycle counts and physical inventories to maintain inventory accuracy and audit readiness.
  • Ensure compliance with OSHA, SDS, EPA, and environmental regulations for hazardous materials and recycling.
  • Collaborate with technicians and operations leadership to forecast maintenance needs and stage parts for preventive maintenance.
  • Maintain an organized, safe, and efficient parts warehouse using effective storage, labeling, and barcoding practices.

Qualifications

  • 23+ years of heavy-duty automotive, transit, or diesel parts management experience.
  • Strong knowledge of inventory control, vendor negotiations, procurement, inventory accounting, and cost analysis.
  • Experience with Inventory Management Systems, CMMS platforms, barcode systems, and Microsoft Excel.
  • Working knowledge of OSHA, SDS, and EPA requirements related to parts storage and hazardous materials.
  • Excellent communication, organization, and vendor relationship management skills.
  • Valid driver's license required; DOT Medical Card or Forklift Certification preferred.

Education and experience

High school diploma or equivalent required; technical, automotive, supply chain, or business education preferred.

Experience supporting commercial fleet, transit, municipal, dealership, or heavy-duty maintenance operations preferred.
