Kids Help Phone Foundation is seeking a Coordinator, Community Giving & Operations to help inspire generosity and raise funds across Canada to deliver on KHP’s promise to youth.

The Coordinator, Community Giving & Operations enables the effective execution of departmental priorities across Events & Partnerships, Annual Giving, and Operations teams by providing project coordination, administrative, and operational support. 

The coordinator creates capacity by organizing and supporting workflows, coordinating meetings, reporting, and contributing to the successful execution of fundraising initiatives and cross department projects that connect donors and communities to meaningful impact.  It’ll take courage, collaboration, innovation, resilience and trust.

The responsibilities:

  • Support the successful delivery of cross-departmental projects and Operating Plan priorities by liaising with staff, tracking deliverables and monitoring progress,  
  • Coordinate project workflows for initiatives led or sponsored by the VP, including maintaining project trackers, updating Microsoft Planner or related tools, following up on action items, and helping ensure timelines stay on track. 
  • Provide coordination and administrative support across Events & Partnerships, Annual Giving, and Operations, helping teams move priorities forward during high-volume periods and key campaign moments. 
  • Support departmental and Executive reporting by coordinating inputs, timelines, follow-ups, and materials that help leaders communicate progress, risks, and results clearly. 
  • Contribute to strong donor and partner stewardship and experiences by supporting the preparation of materials, coordinating logistics, and helping ensure follow-through on key relationship activities. 
  • Monitor and respond to donor inquiries through shared inboxes and other assigned channels, providing timely, professional, and donor-centred support while triaging more complex matters to appropriate team members. 
  • Support internal department communications, including drafting or coordinating announcements, updates, meeting materials, and other communications that keep the team aligned and informed. 
  • Maintain accurate records in Raiser’s Edge, including data updates, call notices, reports, and other activities that support data integrity and effective donor management. 
  • Support financial and administrative processes, including invoice tracking, event permitting, contracts, credit-card reconciliation, expense statement preparation, and follow-up with vendors or internal stakeholders as needed. 
  • Coordinate complex scheduling, calendar management, meeting logistics, and preparation of materials for the VP and selected department meetings. 
  • Identify opportunities to improve processes, reduce manual effort, strengthen workflows, and enhance the overall effectiveness of departmental operations. 
  • Provide ad hoc support to the Events & Partnerships, Annual Giving, and Operations teams 

The qualifications:

  • 1–3 years of experience in project coordination, events, fundraising operations, administration, or a related role. 
  • Post-secondary education in business, nonprofit management, communications, event management, or a related field is preferred, or an equivalent combination of education and experience. 
  • Experience supporting special events, donor engagement, fundraising campaigns, or cross-functional projects. 
  • Strong digital fluency, including proficiency with Microsoft Office tools such as Outlook, Word, Excel, and PowerPoint. 
  • Comfort leveraging AI tools and emerging technologies to streamline coordination, synthesize information, improve processes, reduce manual effort, and strengthen team effectiveness. 
  • Strong organizational and time management skills, with the ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment. 
  • Strong written and verbal communication skills, with the ability to engage professionally and effectively with staff, volunteers, donors, vendors, and partners. 
  • Demonstrated tact, discretion, and good judgment when handling sensitive information, donor inquiries, internal priorities, and multi-stakeholder requests. 
  • Strong customer service orientation, with a donor-centred, solutions-focused approach to responding to inquiries and resolving issues. 
  • Proven ability to work independently, take initiative, anticipate needs, and follow through on commitments. 
  • Collaborative working style, with the ability to contribute positively within a team and support colleagues during high-volume or time-sensitive periods. 
  • Strong administrative skills, including accuracy, attention to detail, documentation, scheduling, tracking, and follow-up. 
  • Flexibility, adaptability, and sound judgment, with the ability to think on the fly and adjust as priorities shift. 
  • Valid driver’s license is required 
  • Availability to work flexible hours, including occasional evenings and weekends, as required to support events, campaigns, or key departmental priorities. 

Advantageous/Preferred:

  • Experience with CRM systems, fundraising platforms, design tools, and email platforms — such as Raiser’s Edge, Raisin, Canva, and Mailchimp — is considered an asset.
