Job Purpose:
The Administrative Assistant primary responsibility is to facilitate the communications functions of the business office and provide clerical support.
Duties & Responsibilities:
- Promotes the philosophy, mission and administrative policies of the Hospice by presenting a positive image.
- Facilitates the communications system which may include mail distribution, phone system, memos, answers incoming calls and/or emails, documents, and disseminates appropriate messages.
- Provides clerical support which may include preparation of admission, orientation, and new hire packets; monitoring and ordering office supplies and forms; computer support and data entry; special projects, filing, and copying.
- Competently handle multi-line phone systems. Demonstrates understanding of system features.
- Uses effective customer service skills when directing calls and assisting others.
- Promotes effective communication with patients, families, team members, and other healthcare professionals, and maintains confidentiality.
- Additional duties as assigned.
- Duties and responsibilities may change, and new ones may be added, at any time with or without advanced notice.
Skills and Qualifications:
- High school diploma or equivalent required. College preferred.
- One year general office experience.
- Excellent computer skills required.
- Excellent interpersonal and organizational skills.
- Knowledge of medical terminology preferred.
- Excellent phone skills.
- Current driver’s license and valid auto liability insurance.
- Reliable transportation.
Working Conditions:
- Works in a routine office environment. Noise level may be moderately high.
- The ability to work a flexible schedule and extended hours.
- Ability to travel locally.
- May experience exposure to unpleasant weather conditions.
- Possible exposure to toxic materials, toner, etc.
Physical & Mental Requirements:
- Requires prolonged sitting and standing.
- The occasional need to lift, pull, carry, and push items weighing up to 50 pounds.
- Requires the frequent need to stoop, kneel, and reach while accessing files.
- Requires working under some stressful conditions to meet deadlines and patient needs.
- Requires hand-eye coordination and manual dexterity.
- Requires excellent problem solving skills.
