Position Title: Finance & Delivery Coordinator

Description

Finance & Delivery Coordinator (Part-Time) 30 hours a week.

We are seeking a highly organized, detail-oriented Administrative Coordinator to support our customer delivery process. This position serves as a key liaison between customers and our Sales, Finance, Accounting, and Service departments to ensure every RV delivery is accurate, timely, and provides an exceptional customer experience.

The ideal candidate is highly organized, customer-focused, comfortable on the phone, excels at managing multiple priorities, and enjoys working in a fast-paced office environment.

While RV or dealership experience is helpful, we are willing to train someone with strong administrative skills, excellent attention to detail, and a positive, customer-focused attitude.

Essential Responsibilities

Customer Delivery Preparation

Make outbound and inbound customer calls regarding upcoming deliveries, required documentation, scheduling, funding, and general customer questions.

Contact customers two (2) business days prior to scheduled delivery to:

o Confirm method of payment.

o Verify insurance coverage has been updated to include the purchased RV.

o Review all required documents and items customers need to bring to delivery.

Contact customers one (1) business day prior to delivery to:

o Confirm all required documentation has been received.

o Verify cashier's checks, wire transfers, or other forms of payment are ready.

Answer customer questions regarding delivery requirements and payment procedures.

Assist with customer follow-up before and after delivery to ensure a positive ownership experience.

Deal File Management

Prepare and organize customer deal files for delivery.

Collect, review, and maintain all required documentation, including:

o Driver's licenses

o Trade registrations

o Sales quotes

o Payoff information

o Vehicle registration documentation (VITU)

o Additional sales and finance paperwork

Verify VINs, coach information, and customer records for accuracy.

Monitor and update delivery schedules and communicate any changes.

Finance & Funding Support

Respond to customer inquiries regarding wire transfers, deposits, financing, and payment methods.

Verify receipt of customer funds prior to delivery.

Submit completed deal documentation for funding.

Obtain lender payoff information as needed.

Verify insurance coverage before funding.

Confirm tax and registration requirements are complete and accurate.

Delivery & Administrative Support

Prepare delivery documents and customer paperwork for scheduled signings.

Register factory warranties and applicable coverage plans.

Prepare customer information packets for delivery walkthroughs.

Provide general administrative support to the Sales and Finance teams.

Records & Communication

Maintain accurate delivery schedules, logs, and internal records.

Update delivery status and documentation throughout the sales process.

Coordinate with Sales, Finance, Accounting, and Service departments to ensure deliveries are completed efficiently and accurately.

Maintain confidentiality of customer information and company records.

Qualifications

Comfortable making and receiving customer phone calls throughout the day.

Previous clerical, administrative, office, dealership, finance, or customer service experience preferred.

Excellent organizational skills with exceptional attention to detail.

Strong verbal and written communication skills.

Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

Proficiency with Microsoft Office, including Outlook, Word, and Excel.

Ability to work independently while collaborating effectively with multiple departments.

Professional, dependable, and committed to providing outstanding customer service.

Strong scheduling, organizational, and time-management skills.

Schedule

8:30 AM 3:00 PM

30 hours per week
