About This Position

Under general supervision, responsible for coordinating and managing the City's grants and intergovernmental relations programs. This role focuses on securing funding opportunities from federal, state, and local agencies to support essential City initiatives. The administrator will advocate for the City’s interests and ensure effective communication and collaboration with government officials and stakeholders; and perform other related duties as assigned.

  • Serve as a liaison between the City and various government entities to build and maintain productive relationships with local, state, and federal officials.
  • Advocate for the City's projects and priorities during meetings with agencies and other stakeholders.
  • Monitor and analyze legislation, regulatory changes, and policy developments that may affect funding or project opportunities.
  • Provide updates to City leadership on emerging funding opportunities and changes in the legislative landscape.
  • Identify funding opportunities from federal, state, and local sources for infrastructure and community development projects.
  • Research, prepare, and submit grant proposals for projects involving city initiatives.
  • Coordinate with City departments to develop project scopes, budgets, timelines, and objectives that align with available grant funding.
  • Track and monitor grant compliance and reporting requirements to ensure all deadlines and requirements are met.
  • Maintain organized records of grants, applications, funding sources, and communications with agencies.
  • Ensure compliance with all grant requirements, including financial reporting, record-keeping, and project deliverables.
  • Provide weekly reports on grant applications, intergovernmental activities, and the status of active projects.
  • Prepare detailed updates on potential funding, timelines, and next steps for City leadership.
  • Attend relevant workshops, conferences, and training sessions to stay informed on best practices for grant writing, management, and intergovernmental relations.
  • Serve as a resource to City departments and leadership on grant-related matters, providing expertise and guidance.
  • Support the preparation of strategic plans that involve funding opportunities and partnerships.
  • Performs other related duties as assigned.


Bachelor’s degree from an accredited college or university in Public Administration, Political Science, Business Administration or related field and three (3) year’s professional experience in grant writing, intergovernmental relations, or a related field. Prior experience with infrastructure related grants is highly desirable.

Must possess and maintain a valid Florida driver's license.


Knowledge, Skills, and Abilities
  • Knowledge of local, state, and federal government funding processes.
  • Knowledge of the organization, functions and activities of the various sectors of the City, and those of other governmental agencies
  • Knowledge of basic accounting principles and procedures
  • Knowledge of research techniques and the sources and availability of current information
  • Skills in the operation of Microsoft Office Suite and other software.
  • Skills in the proper use of grammar and the ability to write, edit, and proofread accurately.
  • Skills in managing staff, delegating tasks and authority and coaching to improve staff performance.
  • Ability to establish and maintain effective working relationships with City officials, other government officials, associates, and the general public.
  • Ability to prepare meaningful and informative special and regular financial and statistical reports; Ability to exercise sound judgment in analyzing facts and arriving at conclusions
  • Ability to follow complex oral and written instructions
  • Ability to initiate and install administrative programs and procedures and to evaluate their effectiveness.


PHYSICAL AND SENSORY REQUIREMENTS / ENVIRONMENTAL FACTORS

Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements: Tasks require the ability to perceive and discriminate visual cues or signals. Tasks require the ability to communicate orally.

Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
