Position Summary: The Executive Assistant position is responsible for supporting the CEO and Executive team. This position is responsible for coordinating meetings, creating reports, taking meeting minutes, and organizing documents. They are a proactive problem solver with excellent communication skills and a strong attention to detail.

RESPONSIBLITIES
- Produces presentations and reports in a timely manner.
- Participates in meetings and takes minutes, as needed.
- Facilitates communication and assistance for the Board of Directors as a trusted liaison.
- Facilitates all Executive Team gatherings and off-site retreats.
- Delivers an exceptional hospitality to every guest, ensuring a warm and inviting atmosphere.
- Creates efficient organizational record retention and retrieval procedures.
- Conducts thorough research and analysis to produce high-quality documents for review and presentation to boards of directors, committees, and executives.
- Efficient handling of incoming correspondence: sorting, distributing, and responding to faxes, emails, and more.
- Assumes responsibility for the Executive scheduling needs. This includes managing agendas, emails, calls, arranging travel, dealing with clients, and other key logistics that are important for the organization’s success.
- Maintains a high level of professionalism and strict confidentiality when handling all materials. Additionally, exercise discretion in all business interactions to ensure confidentiality is upheld.
- Other duties as assigned.
QUALIFICATIONS AND REQUIREMENTS
Education:
- Bachelor’s Degree, preferred.
- HS degree required
Experience:
- Bilingual preferred.
- 1-3 years of administrative experience with at least two years of executive administrative experience.
