Position Summary
Safe Harbor Peer Support Services is seeking a highly organized, dependable, and detail-oriented Office/Fiscal Assistant to support both administrative and financial functions within our Delaware-based operations. This vital position plays a key role in ensuring the efficiency of daily office activities while maintaining financial accuracy and supporting organizational accountability. The successful candidate will work collaboratively with multiple departments to streamline workflows, manage records, and support core fiscal responsibilities.
Key Responsibilities
Administrative Support
- Serve as the first point of contact by answering phones and responding to general inquiries.
- Manage calendars, schedule appointments, and coordinate meetings.
- Draft and respond to correspondence, including emails, letters, and internal memos.
- Assist in planning and facilitating internal meetings and external communications.
Office Management
- Monitor, order, and maintain office supply inventory.
- Ensure shared spaces remain clean, organized, and functional.
- Coordinate with vendors and service providers for deliveries, repairs, and equipment maintenance.
Data Entry & Record Management
- Accurately enter, update, and maintain data in organizational systems and databases.
- Organize and maintain both digital and physical filing systems for quick and reliable document retrieval.
- Support secure document storage practices and archiving efforts.
Document Preparation
- Prepare agendas, take meeting minutes, and compile summary reports.
- Format, proofread, and distribute internal and external documents.
- Monthly fiscal reports
- Information packet for the Safe Harbor Board of Directors
Fiscal & Financial Support
- Accurately enter and code financial data including invoices, receipts, and credit card transactions.
- Assist in the preparation and processing of accounts payable and receivable.
- Support payroll processing and employee reimbursement activities as needed.
- Assist in budget tracking, expense reconciliation, and compiling financial reports.
- Participate in internal audits and ensure records are compliant with organizational policies and external regulations.
- Monitor compliance with fiscal procedures and flag discrepancies as appropriate.
Qualifications and Requirements
- Strong organizational and multitasking abilities, with excellent attention to detail.
- Proven experience in administrative or office assistant roles (finance experience a plus).
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with Google Workspace a plus.
- Hands-on experience with QuickBooks Online (QBO) or other accounting software.
- Basic understanding of bookkeeping, accounting principles, and financial reconciliation.
- Excellent verbal and written communication skills.
- Ability to work independently with minimal supervision, as well as collaboratively in a team environment.
- High level of integrity, professionalism, and discretion when handling confidential information.
Preferred Qualifications
- Associate’s degree in Business Administration, Accounting, or related field.
- Previous experience in a nonprofit or community-focused organization.
- Familiarity with grant reporting or donor management systems.
- Working knowledge of QuickBooks and QuickBooks Online
