About This Position

SUMMARY: The administrative assistant provides support for administrators within the department, manages departmental data, and serves as the receptionist. Working with a wide variety of constituents is necessary; this will include students, faculty, staff, and outside vendors. Additionally, the incumbent will be expected to work within the Franciscan values of the University.

This is a full-time position funded by a grant from the US Department of Education.

RESPONSIBILITIES:

  • Collects student eligibility data for the intake process
  • Maintains student database information with downloads from Datatel merged into MS Access, including: eligibility, developmental math placement, grades, number and types of student contacts, probation status, etc.
  • Maintain office computers, both hardware and software
  • Prepare reports for the director and other admins containing all requested data
  • Day-to-day administrative functions on the Student Support Services program including: office management, purchasing, and other support services
  • Provide reception services
  • Monitor student check-ins
  • Attend departmental meetings and take minutes
  • Participate in the general objectives and projects of the department
  • Other duties as assigned by the director

QUALIFICATIONS:

  • Certificate in Office Management or other related certification
  • Proficient in Microsoft Office; Access experience strongly preferred.
  • Effective written and oral communication skills
  • Reliability to maintain an established in-person work schedule.
  • Ability to maintain strict confidentiality of student information and work-related information, meet deadlines, handle multiple projects at once.

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.

TECHNOLOGY SKILLS: Accomplished skills in typing, word processing, and spreadsheet management. Familiarity with Outlook and other Microsoft software preferred.

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exits. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
