About This Position

Front Office & Customer Service

  • Greet and assist parents, students, staff, and visitors in a professional, welcoming, and helpful manner.
  • Serve as the primary front desk presence during school hours.
  • Manage the automated answering system and answer incoming phone calls as needed, including:
  • Providing accurate information to callers
  • Routing calls and messages to appropriate staff
  • Ensuring timely follow-up and communication
  • Answer basic questions regarding Louisiana Key Academy (LKA) and provide a brief explanation of the school’s mission, services, and benefits.
  • Assist with maintaining a clean, organized, and safe reception and front office area at all times.

Attendance & Student Records

  • Manage and maintain daily student attendance records across all Student Information Systems (SIS).
  • Partner with the Academic Team and School Operations Officer (SOO) to ensure student and teacher data is accurate and up to date in all systems.
  • Supervise, organize, and maintain cumulative student files in compliance with school, district, and state requirements.
  • Support enrollment-related documentation and student record requests as needed.

Clerical & Administrative Support

  • Perform high-level clerical duties, including data entry, document preparation, filing, and record maintenance.
  • Process incoming and outgoing mail, packages, and faxes.
  • Create and maintain school welcome packets for new students, families, and staff.
  • Support leadership staff with scheduling meetings, managing calendars, and coordinating logistics as needed.
  • Provide general administrative and clerical support to the school leadership and operations teams.

Communications & Publications

  • Create school flyers, announcements, and other visual communications.
  • Produce and distribute school newsletters according to established timelines.
  • Assist with maintaining consistent branding and clear communication across school materials.

Operations & Supply Management

  • Maintain and manage school office supply inventory.
  • Monitor supply levels and submit purchase requests proactively to ensure items are replenished before depletion.
  • Order and manage all Louisiana Key Academy Caddo Department supplies.
  • Assist with tracking deliveries and ensuring supplies are properly stored and distributed.

Events & School Support

  • Plan, coordinate, and support school events led by the Operations Team (e.g., family events, staff meetings, school-wide activities).
  • Assist with event logistics such as scheduling, setup, materials preparation, and communication.

Safety & Compliance

  • Follow all school safety protocols, including visitor sign-in procedures and emergency response expectations.
  • Maintain confidentiality of student, family, and staff information at all times.
  • Support compliance with school policies, procedures, and operational expectations.
  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • Prior experience in a school office, front desk, administrative, or customer service role preferred.
  • Strong organizational and time-management skills with the ability to multitask in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency with basic office technology and software (email, calendars, spreadsheets, word processing, and student information systems).
  • Ability to maintain professionalism, discretion, and confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Ability to work collaboratively with students, families, teachers, and leadership staff.
