We are a growing insurance broker agency that manages health, dental, and vision benefits for a large employee group. We provide a smooth, accurate, and compliant benefits experience for all employees, and we are looking for a highly organized, detail-oriented Benefits Administrator to run day-to-day benefits operations.
This is a long-term, full-time remote position supporting a U.S.-based company.
⭐ Position OverviewThe Benefits Administrator will handle all daily benefits operations, including enrolling employees, maintaining eligibility, processing changes, submitting information to insurance carriers, updating payroll deductions, and supporting compliance tasks.
You will work closely with our licensed agent and company leadership to ensure employees receive accurate, timely support.
The ideal candidate has strong administrative experience, excellent communication skills, and comfort working in HR or benefits platforms.
⭐ Key ResponsibilitiesEmployee Onboarding & EnrollmentCollect required employee and dependent information
Enter new hire data into benefits platforms (Employee Navigator, Ease, etc.)
Provide plan summaries, SBCs, and required notices
Process medical, dental, and vision plan elections
Submit enrollments and changes to insurance carriers
Track enrollment confirmations and ID cards
Maintain accurate employee eligibility and coverage status
Process qualifying life events (marriage, birth, loss of coverage, etc.)
Handle additions, terminations, and plan changes
Update payroll deductions for benefits
Respond to employee benefits questions via email and messaging
Maintain organized digital records for compliance
Reconcile monthly carrier billing statements
Identify and correct premium discrepancies
Coordinate with payroll to ensure deductions are accurate
Submit forms, documents, and updates to carriers as needed
Maintain enrollment documentation and audit trails
Assist with ACA tracking and reporting
Manage COBRA notifications (with third-party vendor)
Ensure compliance with company policies and deadlines
Support annual open enrollment and plan renewals
Keep benefits platforms updated with correct plan information
Upload new plan documents and SBCs
Maintain census files and reports
Assist with technology integration between benefits, HR, and payroll systems
Strong administrative or HR/benefits operations experience (preferred)
Experience with benefits platforms (Employee Navigator, Ease, Rippling, Gusto, or similar) is a major plus
Excellent written and verbal English communication
Strong attention to detail and accuracy
Ability to follow structured processes and meet deadlines
Comfortable working U.S. business hours (at least 4–6 hours overlap)
High-level computer literacy (Google Workspace, spreadsheets, data entry)
Fast learner, reliable, and proactive
Experience working with U.S. insurance carriers (Aetna, BCBS, UHC, Cigna, Humana, Delta Dental, etc.)
Prior HR Coordinator or Benefits Specialist experience
Understanding of U.S. health insurance terminology
Knowledge of payroll deduction workflows
Full-time: 40 hours per week
Must overlap with U.S. business hours for real-time support
