Job Overview

We are seeking a highly organized and proactive Paralegal to oversee the licensing and regulatory execution for our nationwide events. This role is responsible for ensuring all events are properly licensed, compliant, and able to operate without disruption. The position blends legal support with operational execution and includes oversight of a Licensing Coordinator and is the direct point of contact for the outside law firm we utilize. This is a fast-paced, high-impact role that requires strong organization, communication, and ownership.

Responsibilities and Duties

Licensing & Regulatory Execution

  • Prepare, submit, and track licensing applications across multiple states and municipalities
  • Maintain a detailed calendar of licensing deadlines aligned with event schedules
  • Ensure all events meet local and state requirements prior to execution
  • Manage renewals, documentation, and jurisdiction-specific requirements

Cross-Functional Coordination

  • Partner with Sales and Account Management teams to align licensing timelines with event schedules
  • Communicate requirements, timelines, and updates clearly to internal stakeholders
  • Collaborate with Marketing to ensure advertising language aligns with local regulations

Outside Counsel Coordination

  • Serve as the primary point of contact for outside law firms
  • Escalate complex legal or regulatory issues as needed
  • Ensure outside counsel is used efficiently for higher-level matters

Team Leadership

  • Manage and develop a Licensing Coordinator (direct report)
  • Delegate application preparation, follow-ups, and administrative tasks
  • Ensure accuracy, consistency, and timeliness across all licensing work

Process & Organization

  • Build and maintain systems to track licensing status across hundreds of events
  • Identify opportunities to improve efficiency, turnaround time, and organization
  • Maintain organized records of all licenses, applications, and correspondence
Requirements:

Qualifications

  • 2–5+ years of paralegal, licensing, compliance, or regulatory experience
  • Strong organizational and project management skills with the ability to manage high volume
  • Experience working with government agencies or regulatory processes preferred
  • Ability to manage deadlines across multiple jurisdictions simultaneously
  • Clear, professional communication skills
  • Comfortable operating in a fast-paced, operations-driven environment.

Preferred Experience

  • Multi-state licensing or regulatory experience
  • Experience in retail, financial services, or regulated transaction environments
  • Prior experience coordinating with outside counsel
  • Experience managing or mentoring junior team members
