Overview

The Project Coordinator I (Human Resources) supports the HR department under the guidance of management, serving as a key point of contact for employees and managers on matters such as benefits, time and leave, FMLA, and onboarding.

Local Candidate Only: This is a hybrid opportunity and must be able to come to the North Palm Beach, Florida office 2 days a week.

Under the supervision and guidance of Department Management, the PC, provides support to the Human Resources Department which includes Human Resources, Recruiting and Benefits:

  • First point of contact with Employees and Managers re:

    • Benefits questions

    • Time and Leave questions

    • FMLA and other types of Leave

    • New Hire Onboarding

  • Manages activities in HCMS (Paycom)

  • Provides activities overview to HR Management Team on a daily/weekly basis

  • Assists in Compliance Investigations and Resolutions

  • General Human Resources Operations

  • Assists in Performance Management

The Project Coordinator I (PC), Human Resources:

  • Day-to-day operational human resources tasks.

  • Recruiting tasks as assigned.

  • Responsible for Background checks including Video ID – input, monitoring, interfacing with candidates/employees and the Vendor

  • Provides guidance to employees and management regarding company policies, practices and regulations.

  • Processes, verifies and maintains documents relating to any human resources activities under the applicable compliance regs.

  • Maintains all legal documentation; i.e., I9’s, personnel records, medical records, etc. under the applicable compliance regs.

  • Coordinates with Recruiting and Payroll regarding all New Hire paperwork

  • Reviews all New Hire paperwork against Paycom and facilitates updates as needed.

  • Manages and organizes new hire documentation by creating and maintaining digital folders within SharePoint and Paycom, ensuring all onboarding paperwork is accurately uploaded and stored in a timely manner.

  • Supports Recruiting by assigning online testing to candidates

Other Duties:

  • Supports and maintains all files relating to projects for the Human Resources Department

  • Works on special projects assigned by Management team Human Resources Departmen

Conditions of Employment:

  • Must be a US Citizen or Permanent Resident. (Authorized to work in the US without current or future visa sponsorship.)

  • Must be able to pass a Federal background check

  • Must be determined suitable for federal employment.

Security and Privacy Responsibilities:

Individuals working for DSS or any Subsidiary will be subject to security and privacy requirements as explained in HIPAA, FedRAMP, and NIST 800-53. Additionally, they are required to undergo specific FedRAMP training to ensure compliance with all associated controls and responsibilities in the day-to-day performance of their duties. Individuals working in departments that are considered to be in the high-risk category will be required to undergo advanced training based on their role and level of access. Individuals with access to modify data and the configuration baseline will require further training.

Qualifications

Required Skills:

  • Exhibits exceptional communication skills both written and oral

  • Has verifiable experience with MS Office (Word, Excel, PowerPoint, SharePoint, Outlook, Internet Explorer)

  • Previous knowledge of HCMS – Paycom preferred, others considered

  • Previous experience/knowledge of Human Resources operations

  • Previous experience/knowledge of Recruiting operations

  • Previous knowledge of Employment Law and Best Practices

  • Self-motivated and desire to learn

  • Utilizes persuasion and patience to deal with irate internal/external clients.

  • Presents solutions to internal clients to address the circumstance while maintaining control of the situation and striving for the ultimate outcome.

  • Has intimate knowledge with DSS’ policies and procedures and uses them in the everyday administration of duties

  • Displays professionalism in all aspects of the position

  • Brings organizational skills to bear in both the personal workspace, the department workspace and the electronic workspace

Desired:

  • Strong verbal and written communication skills

  • Ability to speak with all levels within the Org Chart from peers to CEO

  • Knowledge of HR Law is a strong plus

  • Willingness to work until tasks are complete

Education:

Required:

  • AS degree or BS – general business, human resources, general knowledge, organizational development
  • A mixture of education and experience will be considered in lieu of degree

Desired: Advanced degree or study in Business, Human Resources, Organizational Planning, Training

Certification(s), Licenses:

Desired:​​​​​​​ Any HR centric or Project centric certification is a plus
