Job Description

JOB SUMMARY

The HR Coordinator – Payroll Support, supports the human resources department in ensuring smooth and efficient business operations. The role will require both administrative and strategic responsibilities. The HR Coordinator supports the department in performing HR related payroll duties, and other HR functions supporting new employee orientation, contractors, students, and volunteers while providing backup to other HR functional areas.

PRINCIPLE FUNCTIONS includes the following, other duties may be assigned:

HR Related Payroll Duties:

  • Maintains the PAR Log and responsible for documentation for all personnel changes.
  • Responsible for the full cycle of bi-weekly processing of HR related payroll functions such as preparing annual step increases, processing, and inputting all PAR’s related to job status changes, address/name changes and ensuring proper notification and documentation.
  • Responsible for the termination process from beginning to end including COBRA administration.
  • Calculates sign-on bonus repayments for employees who internally transfer or terminate prior to their 2-year anniversary (excluding providers).
  • Responsible for ‘Manager 1’ changes and notifications.
  • Responsible for retro adjustments and appropriate documentation for HR and Payroll.
  • Assists with verifying offer worksheets for internal and external candidates.
  • Maintains relationship with payroll to ensure compliance with legal requirements, labor agreements, and organization policies.
  • Reviews and verifies payroll figures and records for accuracy, making necessary corrections prior to the biweekly payroll run.
  • Evaluates and applies the use of personnel rules and labor contracts to ensure adherence to established pay standards in conjunction with state and federal regulations; implements HR payroll related policies as directed by manager.
  • Assists with full wage scale increases for unions and non-contract hourly positions.
  • Responsible for ensuring a second verification has been performed for all HRIS entries.

HRIS:

  • Supports and maintains all employee data in the HRIS system, confirms accuracy and integrity of all data entered and assures information is available on a timely basis.
  • Maintains intermediate knowledge of the HRIS system.
  • Provides end user support in the use of timeclocks.
  • Assists with system application changes and upgrades, reviews and tests system upgrades and changes.
  • Practices process improvement techniques to identify, re-engineer and enhance processes to improve quality and efficiency. Identify and resolve escalations or complex issues with strong emphasis on root cause analysis.

Misc.:

  • May provide back-up support to the front desk for the HR department office and incoming calls. Assists employees, vendors, and visitors by answering questions appropriately or connecting them to the appropriate HR representative.
  • Checks HR Mailbox daily and strives for responses within 72 hours.

  • Attends a minimum of 80% of monthly department staff meetings throughout the year. Actively participates in monthly department staff meetings, to include active participation in setting department goals and supporting department functions to meet set goals.
  • Checks hospital email and voicemail accounts daily and strives for responses within 24 hours.
  • Utilizes AIDET in all interactions with patients, employees, and visitors.
  • Completes all mandatory education within given timeframe.
  • Adheres to all hospital, department, and safety policies, procedures, and guidelines at all times.

JOB KNOWLEDGE & QUALIFICATIONS

Education

  • High School diploma or equivalent required; A.A./A.S. Degree preferred.
  • College coursework in Human Resources, Business Administration, Accounting or related program preferred.

Training and Experience

  • A minimum of two years obtaining knowledge of principles and practices of human resources is required.
  • A minimum of two years of experience in electronic timekeeping and payroll systems is required. Kronos experience preferred.
  • Human Resources and / or Payroll experience in a union setting highly desirable.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
