About This Position

The position is responsible for providing high-level administrative support to the Legal Services group, including preparing legal invoices, tracking budget and complete expense reports, maintaining correspondence, documenting files, scheduling meetings, and preparing documents. The position reports directly to the General Counsel.

Major Duties and Responsibilities
  • Acquires a working knowledge of the American Chemistry Council (ACC) and its issues and activities.
  • Provides general administrative support to Legal Services staff, including receiving and distributing mail, maintaining files, writing and preparing office correspondence and sending appropriate replies.
  • Prepares and monitors invoices for payments, tracks budget items, and interfaces with Finance and Accounting.
  • Prepares presentations, reports, spreadsheets and documents using a variety of computer applications.
  • Prepares and assist with drafting correspondence, meeting agendas and briefing materials.
  • Tracks filings and due dates to support copyright, trademark, lobbying and other filings.
  • Coordinates meetings, appointments, calendars, legal dockets and conference calls.
  • Makes travel arrangements for Legal Services staff, including scheduling air/ground transportation, making accommodations, and completing expense reports/vouchers.
  • Manages legal documents on ACC intranet sites.
  • Maintains member and other contact lists.
  • Manages departmental continuing legal education requirements and handles registrations and subscriptions.
  • Prepares draft meeting minutes.
  • Provides prompt and accurate research to attorneys and/or staff.
  • Assists attorneys and other ACC staff with the contract process.
  • Performs other related duties as assigned.
Qualifications/Requirements
  • College degree or equivalent experience
  • Two years general office or related experience.
  • Strong written and verbal communication skills, including grammar, spelling and punctuation.
  • Ability to manage and prioritize multiple projects and tasks, work independently and exercise sound judgment in evaluating such situations and issues.
  • Ability to handle sensitive and confidential information.
  • Working knowledge of Microsoft Office including Word, Excel and PowerPoint.
  • Experience with document tracking, filing and record keeping.
  • Proficient in Internet research.
