About This Position
The Administrative Assistant III provides comprehensive administrative support to ensure the efficient operation of the CFR, CMMS and CAPM departments. This role involves managing day-to-day administrative tasks, coordinating departmental activities, and serving as a key point of contact for staff, faculty, students, and external partners.
Administrative Support:
- Provide Administrative Support for CFR, CAPM and CMMS
- Supports Program Directors, Assistant Directors, and faculty with scheduling, budget monitoring (work closely with Business Manager), supply management (such as Cardinal Purch purchases), and general office operations.
- Manages internal and external communications, including drafting official correspondence, responding to emails, and maintaining the department website and electronic documents.
- Handles data entry, filing, and record-keeping for student and employee information (such as EPAF); maintains the department’s local area network database and document repository
- Coordinates meetings, events, and special functions in collaboration with Conferencing Services; manages calendars and greets visitors.
- Assists with travel authorizations, reimbursements, and other expense-related processes for CFR, CAPM and CMMS leadership.
- Supports accreditation and annual reporting by formatting documents and maintaining required materials.
- Provides basic technical and software support to staff and faculty.
- Performs other duties as assigned to support departmental needs.
- Student Engagement and Research Promotion
- Assist CFR, CMMS and CAPM in engaging students by promoting research opportunities, internships, and events.
- Collaborate with faculty and staff to develop initiatives that encourage student involvement in research projects.
Minimum Qualifications:
- High School Diploma or GED.
- 3 years of administrative experience required.
- An associate or bachelor’s degree, along with one year of administrative experience, can be utilized as a substitution.
Desired Qualifications:
- Experience in higher education, research centers, or industry relations.
- Knowledge of grant writing and funding development.
- Familiarity with graphic design tools (e.g., Canva, Adobe Creative Suite) for marketing materials.
- Experience in event coordination and industry engagement.
- Experience with data analysis and reporting for outreach effectiveness.
Key Competencies:
- Serve as the first point of contact for students, faculty, and visitors to the department
- Answer phone calls, respond to inquiries, and direct requests appropriately
- Maintain department records, scheduling, and filing systems
- Support CFR, CMMS and CAPM staff with administrative needs such as supply orders, copying, and scheduling
- Track and communicate updates to department task lists or project deadlines
- Assist with meeting coordination, and other department activities
- Handle time-sensitive tasks with discretion and professionalism.
- Participate required university trainings
- Knowledge and experience working in LU computer systems such as Banner, Cardinal Purch, Argos, Degree Works, Chrome River, Smartsheet, etc.
- Excellent time management and organizational skills.
- Strong problem-solving skills and ability to adapt to changing priorities.
Physical Requirements: Able to lift 25 pounds and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.
Job Conditions:
- The Administrative Assistant III provides comprehensive administrative support to ensure the efficient operation of the department. This role involves managing day-to-day administrative tasks, coordinating departmental activities, and serving as a key point of contact for staff, faculty, students, and external partners.
- Occasional evening and weekend work may be required for events.
