About This Position
Job Purpose: The Customer Compliance Specialist plays a key role in ensuring adherence to customer-specific compliance requirements while also managing product returns and cargo claims. This position supports daily operations by maintaining accurate documentation, resolving compliance issues, processing return authorizations, and coordinating freight claim activities. The role requires strong attention to detail, organizational skills, and the ability to work cross-functionally with internal teams and external partners
Key Responsibilities:
Customer Compliance
- Monitor and interpret customer routing guides and compliance manuals.
- Track and analyze chargebacks and fines; identify trends and recommend corrective actions.
- Coordinate with sales, shipping, and warehouse teams to ensure compliance with customer-specific requirements.
- Maintain up-to-date documentation on compliance processes and customer expectations.
- Submit and manage dispute resolution for customer chargebacks and non-compliance deductions.
Customer Returns
- Process and manage Return Merchandise Authorizations (RMAs) in accordance with company policy.
- Investigate return reasons and work with internal teams (e.g., QC, shipping, sales) to address recurring issues.
- Coordinate the logistics of return shipments and track their receipt and disposition.
- Ensure accurate credit issuance or replacement shipments, as applicable.
Cargo Claims
- File and track freight claims with carriers for lost, damaged, or delayed shipments.
- Work with warehouse and carriers to gather supporting documentation (e.g., BOLs, photos, delivery receipts).
Qualifications:
- High school diploma or equivalent required
- 2+ years of experience in customer compliance, order fulfillment, or logistics preferred.
- Familiarity with routing guides, retail compliance standards, and freight claim procedures.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office (especially Excel); experience with ERP or order management systems a plus.
- Detail-oriented with strong organizational and analytical skills.
- Ability to manage multiple priorities in a fast-paced environment.

Work Environment & Physical Demands:
- This role operates in a professional office environment
- May require occasional visits to the warehouse, production floor, or shipping area
- Standard work hours Monday-Friday
