This role is focused on supporting complex, mission-driven projects within a highly structured and collaborative environment. You will play a key role in coordinating project activities, tracking deliverables, and ensuring alignment across multiple stakeholders working on scientific and public health initiatives. The position involves a strong mix of administrative coordination, documentation, and communication support, with a focus on keeping projects organized, transparent, and on schedule. You will contribute to improving project management practices by helping develop tools, templates, and reporting materials. The environment is detail-oriented and fast-paced, requiring strong organizational skills and the ability to manage competing priorities. A significant part of your impact will come from facilitating communication, capturing key decisions, and ensuring action items are followed through to completion. - Coordinate and support project and program activities, ensuring meetings, timelines, and deliverables are properly organized and tracked.
- Prepare agendas, capture detailed meeting notes, and document decisions and action items for follow-up and execution.
- Track risks, issues, and mitigation actions, escalating them appropriately to stakeholders and decision-makers.
- Assist in the development and maintenance of project charters, plans, schedules, and supporting documentation.
- Facilitate meetings and cross-functional coordination across multiple teams and workstreams.
- Manage shared document repositories and support knowledge management and information dissemination.
- Support reporting, financial tracking, and preparation of program materials for leadership and stakeholder briefings.
- Bachelor’s degree in a relevant field such as business, public health, science, or project management (Master’s preferred).
- 3+ years of experience in project coordination, program support, or project management roles.
- Experience in a federal, healthcare, biomedical, or research-related environment strongly preferred.
- Strong understanding of project management principles, tools, and coordination methodologies.
- Excellent organizational skills with strong attention to detail and ability to manage multiple priorities.
- Strong written and verbal communication skills, particularly in documenting complex information clearly.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaborative platforms.
- Ability to work effectively with cross-functional and distributed stakeholder groups.
- Experience maintaining project documentation, templates, and governance materials is highly valued.
- Competitive salary range: $81,349 – $92,000 USD (based on experience and location)
