Position Overview
We are seeking an exceptional Receptionist to serve as the welcoming face and first point of contact for our practice.
The ideal candidate is naturally warm, professional, organized, and confident. You will play a key role in creating a seamless patient experience—from answering the phone and greeting patients to coordinating schedules, managing communications, and supporting the administrative flow of the practice.

The Role
As our Receptionist, you'll help create an exceptional experience at every patient touchpoint. You'll welcome patients, manage incoming calls and communications, coordinate appointments, maintain accurate information, and work closely with our clinical and administrative teams.
You will be an essential part of ensuring that every patient feels heard, respected, informed, and cared for.
Key Responsibilities
Patient Welcome & Experience
- Warmly greet patients and create a welcoming, professional first impression
- Check patients in and out efficiently and courteously
- Create a calm, comfortable, and elevated experience for every patient
- Answer patient questions and direct clinical or administrative questions appropriately
- Anticipate patient needs and provide thoughtful, attentive service
- Maintain a clean, organized, and welcoming reception area
- Build positive relationships with patients and contribute to long-term patient loyalty
Phone & Communication
- Answer and manage incoming phone calls with warmth and professionalism
- Schedule, confirm, reschedule, and coordinate patient appointments
- Respond promptly and professionally to emails, messages, and other patient communications
- Communicate practice policies, appointment information, and administrative details clearly
- Follow up with patients as needed to ensure excellent communication and continuity of care
- Handle sensitive or challenging conversations with empathy and professionalism
Scheduling & Administrative Support
- Maintain an accurate and efficient appointment schedule
- Coordinate appointments between patients, providers, and team members
- Monitor the daily schedule and help ensure smooth patient flow
- Enter and maintain accurate patient information in practice management systems
- Assist with new patient intake and registration
- Collect payments and provide receipts or account information as appropriate
- Assist with insurance-related administrative tasks and documentation
- Maintain confidentiality and follow all applicable privacy requirements
- Support the team with general administrative responsibilities as needed
Team Collaboration
- Work closely with the clinical team to maintain an efficient patient flow
- Communicate schedule changes and important patient information to appropriate team members
- Help create a positive, collaborative office culture
- Step in where needed to support the team and overall patient experience
- Participate in training, team meetings, and ongoing process improvement
Required Qualifications
- Previous experience in a receptionist, front desk, customer service, or administrative role
- Exceptional verbal and written communication skills
- Warm, polished, and professional demeanor
- Strong organizational and time-management skills
- Ability to multitask while maintaining accuracy and composure
- Excellent attention to detail
- Strong computer skills and ability to learn practice management software
- Reliable, punctual, and self-motivated
- Ability to handle confidential information with discretion
- Genuine desire to help people and create an exceptional patient experience
Preferred Qualifications
- Previous dental or healthcare front-desk experience
- Experience with dental practice management software
- Familiarity with dental terminology
- Experience scheduling appointments in a busy healthcare environment
- Experience with dental insurance and payment processing
- Knowledge of or genuine interest in biologic, holistic, or integrative health
- Experience working in a high-end medical, dental, wellness, hospitality, or service environment
