Job Title: Domestic Clerk

Reports to: Operations Manager / Branch Manager

Position Summary:

The Domestic Clerk is responsible for the accurate creation of domestic shipments, generation of shipping documentation, and direct coordination between clients and operations. This position ensures that all domestic logistics activity is processed in compliance with company policy and applicable federal and state regulations. The Domestic Clerk works closely with operations, dispatch, and client services teams to support the service integrity of Ferrari Express Inc. across all U.S. locations.

Key Responsibilities:

Shipment Creation and Processing

  • Create domestic shipment orders accurately, including origin, destination, declared value, weight, service level, and special handling instructions.
  • Generate, verify, and distribute all required shipping documentation including waybills, receipts, chain-of-custody forms, and carrier manifests.
  • Verify shipment data against dispatch records and delivery instructions to ensure accuracy prior to release.
  • Maintain organized records of all shipment transactions, adjustments, and supporting documentation.

Client Communications

  • Serve as the primary point of contact for clients regarding domestic shipment inquiries, status updates, and pickup scheduling.
  • Communicate professionally and promptly with clients regarding service requests, tracking updates, and any exceptions or delays.
  • Coordinate with operations staff and armored vehicle teams to ensure timely and accurate pickup and delivery of client shipments.

Data Entry and Records Management

  • Enter all shipment transactions accurately into applicable logistics and operations software systems.
  • Maintain and update client shipping profiles, rate information, and service agreements within company systems.
  • Ensure all records are retained in compliance with company document retention policies and applicable law.

Reporting and Reconciliation

  • Perform daily and weekly reconciliation of shipment logs to support operational accuracy and compliance.
  • Prepare shipment summaries, exception reports, and ad hoc operational reports as directed by management.
  • Assist in audit preparation by producing accurate documentation and transaction histories as required.

Cross-Functional Coordination

  • Collaborate with dispatch, operations, and branch management to verify service completion and resolve shipment exceptions.
  • Report discrepancies, damage, missing documentation, or security concerns to the Operations Manager immediately upon discovery.
  • Support the operations team with special projects, process improvements, and compliance initiatives as assigned.

Minimum Qualifications:

Education:

  • High school diploma or equivalent required.
  • Associate’s degree or coursework in Business Administration, Logistics, or a related field preferred.

Experience:

  • Minimum one (1) year of experience in a logistics, shipping and receiving, customer service, or administrative operations role.
  • Experience in a secured logistics, armored transport, or high-value cargo environment preferred.

Technical Proficiency

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) required.
  • Experience with shipping or logistics software platforms (e.g., FedEx Ship Manager, UPS Worldship, or equivalent) preferred.

Knowledge, Skills, and Abilities

  • Strong attention to detail with a demonstrated ability to identify and resolve documentation discrepancies.
  • Solid working knowledge of domestic carrier processes, shipment cycles, and chain-of-custody procedures.
  • Ability to manage competing priorities and meet recurring deadlines in a fast-paced, high-security environment.
  • Excellent written and verbal communication skills with a professional, client-facing demeanor.
  • High degree of discretion and integrity when handling confidential client and shipment data.
  • Bilingual proficiency in English and Spanish preferred given the Miami market and client base.

Work Environment and Physical Requirements

  • This position operates in a professional office and secured operational environment.
  • Regular use of standard office equipment including computers, telephones, and multifunction printers is required.
  • The role requires extended periods of sitting and concentrated visual attention to screen-based tasks.
  • Occasional lifting of packages or materials not exceeding 50 pounds may be required.

Introductory Period:

All new employees are subject to a one hundred eighty (180) day introductory period during which performance, conduct, and role suitability will be evaluated. Successful completion of the introductory period does not alter the at-will nature of employment.
