THE ROLE
The Administrative Assistant is the utility player who keeps SDC running — the person who touches a little bit of everything and makes the whole operation smoother for it. One hour you're supporting leadership and running the club's systems; the next you're restocking a comfort station, helping a member, or sorting out a waiver. If it needs doing, you're the one who jumps in.
You'll own the club's day-to-day technology and keep it humming — Pacesetter, TripleSeat, Smartsheet, and TEI — entering data, running reports, troubleshooting, and being the go-to when something isn't working. As the systems the club runs on grow, you'll grow with them.
You'll interact with members directly, process waivers and paperwork, coordinate schedules and travel, prepare documents, manage files, and handle the hundred small things that make a fast-moving startup run. Priorities shift by the hour, and you stay two steps ahead.
This is a role for someone who loves to solve puzzles and can't sit still while there's a problem to crack. No task is beneath you and none is too unfamiliar to figure out. The best person here is resourceful, unflappable, and genuinely energized by variety — the kind of person who says "I'll handle it" and then does. No matter what the task at hand is, this job does a little bit of everything.
ESSENTIAL JOB FUNCTIONS
- Wearing many hats — jumping into any task, department, or problem as needed
- Executive-level administrative and calendar support
- Owning and administering the club's core systems — Pacesetter, TripleSeat, Smartsheet, and TEI
- Data entry, reporting, and troubleshooting across club software
- Processing member waivers, paperwork, and records
- Direct member interaction and front-line support
- Stocking and maintaining comfort stations and member areas
- Document preparation, correspondence, and file management
- Fielding inquiries by phone, email, and mail as a first point of contact
- Travel coordination and expense management
- Prioritization and triage in a fast-changing environment
- Discretion with confidential and sensitive information
- Sound, common-sense judgment and resourceful problem-solving
- Professional, warm communication
EXPERIENCE
- 3+ years supporting senior executives or leadership, or in a versatile operations/administrative role
- Hands-on experience with club or hospitality software (Pacesetter, TripleSeat, Smartsheet, TEI, or similar)
- A track record of wearing multiple hats and solving problems independently
- Experience handling confidential or sensitive material
- Comfort in a startup or high-tempo environment
- Strong proficiency with Microsoft Office and productivity software
- Experience coordinating travel, calendars, and expenses
- High school diploma or GED required; college coursework or degree preferred
- Excellent written and verbal communication
- Professional, warm communication
DETAILS
- On-site, remote desert location; occasional weekend or event coverage
- Full-time, benefits-eligible
- Reports to the General Manager
PHYSICAL DEMANDS
Position requires walking, standing, and giving direction most of the working day; must be able to stand and exert well-paced mobility for up to 4 hours in length. Must be able to bend, stoop, squat and stretch to fulfill cleaning tasks. Must be able to lift up to 15 lbs. on a regular and continuing basis. Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity. Talking and hearing occur continuously in the process of communicating with members, supervisors and subordinates.
