Job Description
POSITION SUMMARY
The Field Supervisor is responsible for the day-to-day physical maintenance, life-safety systems, tenant coordination, and curb appeal of the assigned commercial retail centers within the portfolio. This position diagnoses and responds to building system issues (roof, HVAC, plumbing, and mechanical), directs and trains the Porter staff, operates and maintains specialized maintenance equipment, solicits and manages third-party vendor and contractor work, enforces tenant lease and rule compliance, and serves as the primary field point of contact for life-safety inspections, security incidents, and seasonal weather protocols. The Field Supervisor reports directly to the Senior Commercial Operations Manager and works in close coordination with the field staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Staff Supervision & Scheduling
- Hire, supervise, train, and schedule Porter staff; conduct regular site visits and check-ins.
- Manage staff vacation coverage; arrange temporary staffing or vendor labor as needed.
- Approve Porter supply requests prior to procurement.
- Manage weekly timesheet submissions for field staff, including non-CAM billable time coding and tenant bill-backs.
- Lead performance management initiatives, including employee evaluations, performance improvement plans, coaching, and bonus recommendations.
Vendor & Contractor Management
- Solicit, obtain, and track contractor proposals for repair, replacement, and improvement work; route to the Senior Commercial Operations Manager for approval.
- Manage vendor relationships for landscaping, pest control, power washing equipment service, paving/striping materials, security camera systems, and towing.
- Dispatch and oversee elevator, sanitary-line jetting, and other specialty service contractors.
Lease & Rule Compliance Enforcement
- Monitor tenant compliance with lease requirements and center rules (kitchen exhaust hoods, grease traps, signage, trash handling); issue written violation notices.
- Verify and record quarterly stove-hood cleaning compliance stickers at restaurant tenant spaces.
Security, Life-Safety & Incident Coordination
- Serve as on-site point of contact for the Fire Department on alarm-related incidents; escalate sprinkler panel alarms to the Senior Commercial Operations Manager.
- Coordinate with local police on loitering, trespassing, break-ins, and disturbance calls, including issuance of no-trespass notices.
- Serve as point of escalation for the after-hours emergency call rotation, ensuring assigned staff respond and are dispatched.
- Coordinate logistics with the Senior Commercial Operations Manager and outside counsel/Sheriff's office for evictions and unit turnover.
Capital & Budget Escalation
- Identify capital-level deficiencies (worn flooring, exterior painting, major equipment replacement) during inspections and escalate to the Senior Commercial Operations Manager with supporting observations.
Leak & Water Intrusion Response
- Diagnose likely leak source (roof membrane, HVAC condensation/frozen coils, plumbing, floor drains, tenant equipment) through joint inspection with tenant.
- Determine responsible party (Landlord vs. tenant vs. contractor) based on lease terms and inspection findings; direct remediation.
Roof, Drainage & Storm Water
- Inspect roofs monthly, including drains and grease collection systems; escalate damage.
- Monitor for storm water contamination sources and direct remediation to maintain county compliance.
Life-Safety & Mechanical Systems
- Coordinate grease interceptor cleanings and sanitary line contractor jetting; monitor sewer/sump alarm systems and dispatch response.
- Direct repair of trash compactors and dumpsters (hydraulic systems, oil levels, mechanical failures) across the portfolio.
Winter Weather Program
- Direct snow and ice removal operations; organize field staff into removal teams by center.
- Manage seasonal procurement of ice melt and equipment; coordinate rental of skid steers or other equipment for major snow events.
Lighting, Landscaping & Curb Appeal
- Conduct monthly lighting surveys and direct repair/replacement of fixtures and timers.
- Coordinate the landscaping vendor for mowing, mulching, trimming, and camera-sightline maintenance.
The duties below are performed personally only when trained Porter staff or a vendor is unavailable and are not expected to represent the primary use of this position's time.
Pavement & Equipment Operation
- Operate the trailer-mounted diesel crack-sealing melter and ride-on laser striping machine when trained staff are unavailable; ensure only trained personnel operate this equipment given its overheating and injury risk.
- Perform basic stick-weld repairs for trailers, compactors, and railings; inspect completed welds for stability.
Cleaning & Sanitary Equipment
- Operate portable and trailer-mounted power washing equipment for routine or specialty cleaning as coverage requires.
- Operate the sanitary line camera, snake, and sonde equipment for in-house restaurant sanitary-line inspections.
Emergency & Seasonal Response
- Perform daily inspections of utility room, vacant unit, and sprinkler room heaters when temperatures fall to 32°F or below; bleed dry sprinkler systems to prevent freeze-related valve failure.
- Defrost water meter pits as needed to restore service.
- Apply touch-up painting, vinyl lettering, and seasonal window frosting when marketing/signage timelines require immediate turnaround.
PHYSICAL DEMANDS & WORK ENVIRONMENT
- Regularly works outdoors in all weather conditions, including extreme heat, cold, and precipitation.
- Operates powered equipment including a diesel crack-sealing melter, ride-on striping machine, power washers, snow blowers, and sanitary line inspection equipment.
- Ability to lift and carry up to 50 lbs.; frequent bending, kneeling, and climbing (including ladder and roof access).
- Available for after-hours and weekend response in connection with the emergency call rotation and winter weather events.
QUALIFICATIONS
- High school diploma or equivalent required; 4-7 years of related experience in commercial facilities, grounds, or field maintenance supervision.
- OSHA training and/or certification proving knowledge of OSHA standards: fall protection, building maintenance equipment, lockout-tagout, electrical safety-related work practices, confined spaces, hazard communication, asbestos and lead, hand and portable power tools, PPE and respiratory protection.
- Demonstrated ability to operate and maintain specialized maintenance equipment or willingness to complete manufacturer/vendor training.
- Working knowledge of building systems (roofing, HVAC, plumbing, fire/life-safety) sufficient to diagnose and triage reportedissues.
- Valid driver's license in good standing.
- Strong organizational skills and ability to manage multiple concurrent site-level priorities.
- Working knowledge of Microsoft Office Suite for scheduling, reporting, and email communication.
- Ability to communicate effectively and professionally with Porter staff, tenants, contractors, law enforcement, and management.
