The Medical Office Manager for our Podiatry Practice plays a pivotal role in ensuring the smooth and efficient operation of the clinic. The manager will coordinate between medical providers, patients, and insurance companies to optimize workflow and financial performance. Jersey Family Foot and Ankle is seeking an experienced Office Manger to oversee daily operations across our Paterson and Paramus locations. Minimum Qualifications:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in healthcare administration or related field preferred.
- Minimum of 3 years' experience in medical office management, preferably within a podiatry or specialty medical practice.
- Strong knowledge of medical insurance processes.
- Familiarity with electronic health record (EHR) systems and practice management software, preferably eClinical Works.
- Excellent organizational, communication, and leadership skills.
- Ability to travel between Paterson and Paramus office locations.
Preferred Qualifications:
- Certification as a Certified Medical Manager (CMM) or Certified Medical Practice Executive (CMPE).
- Experience with podiatry-specific clinical and administrative procedures.
- Proficiency in advanced healthcare compliance and regulatory standards.
- Background in financial management and budgeting within a healthcare setting.
- Experience implementing quality improvement initiatives in a medical office.
- Bilingual Spanish speaking.
Responsibilities:
- Manage daily operations of the podiatry office, including scheduling, patient flow, and front desk activities.
- Supervise, train, and evaluate administrative and clinical support staff to maintain a productive and positive work environment.
- Oversee insurance verification and prior authorizations; serve as the primary liaison between front office and billing department by responding to billing team inquiries and ensuring accurate, timely communication to support efficient revenue cycle operation.
- Maintain compliance with healthcare laws, regulations, and accreditation standards, including HIPAA.
- Coordinate communication between physicians, patients, insurance providers, and external vendors.
- Develop and implement office policies and procedures to improve efficiency and patient experience.
- Address patient concerns and resolve issues promptly to maintain high levels of patient satisfaction.
