Business Operations Associate

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Business Operations Associate based in United States.

This is a high-impact operations role supporting the systems, processes, and people that keep a growing education-focused organization running smoothly. You’ll work closely with leadership across contracts, compliance, hiring, events, and internal operations. The role combines detailed execution with opportunities to improve how work gets done across the organization. You’ll be trusted to take ownership, anticipate needs, and move priorities forward without constant direction. From managing contract workflows to coordinating national convenings, your work will have broad visibility and impact. Accountabilities
  • Manage contracts, subcontracts, statements of work, amendments, signatures, and repository updates, including tracking renewals, key dates, and deliverables.
  • Monitor state registrations, certifications, insurance renewals, and vendor onboarding requirements, proactively flagging upcoming deadlines and potential issues.
  • Support proposal and RFP submissions by assembling required forms, attachments, documentation, and compliance checklists.
  • Coordinate hiring operations, including interview scheduling, candidate communications, applicant records, onboarding, and offboarding logistics.
  • Plan and coordinate logistics for convenings, cohort sessions, team retreats, and client meetings, including venues, accommodations, catering, materials, and on-site support.
  • Maintain project trackers, internal dashboards, and action-item follow-ups to ensure priorities progress across teams without repeated reminders.
  • Prepare polished decks, memos, spreadsheets, and other internal or client-facing materials.
  • Leverage AI tools to improve efficiency, strengthen recurring processes, and produce high-quality drafts while applying sound judgment and verification.
  • Partner directly with leadership on special projects and evolving organizational priorities.
Requirements
  • Bachelor’s degree and/or 3–5 years of experience in operations, business administration, project coordination, or a related field.
  • Demonstrated ability to take ownership of tasks and consistently bring work through to a complete, high-quality outcome.
  • Exceptional organizational skills and attention to detail, particularly when managing documents, dates, numbers, and multiple workflows.
  • Proactive, self-directed mindset with the ability to identify what needs to happen and act without waiting for instructions.
  • Strong accountability, judgment, prioritization, and time-management skills in a fast-paced and changing environment.
  • Excellent written communication skills and the ability to produce clear, polished first drafts.
  • Ability to handle confidential personnel, client, and organizational information with discretion.
  • Regular experience using AI tools to improve productivity and strengthen work quality, with the judgment to validate outputs when necessary.
  • Proficiency with PowerPoint, Excel, and Google Workspace.
  • Experience with contract administration, compliance tracking, or vendor coordination is preferred.
  • Familiarity with the K–12 education landscape is a plus.
  • Strong collaboration skills and the ability to work effectively with leadership and cross-functional teams.
