Administrative Assistant- Resiliency Center

Organization: Jewish Family Service of Metropolitan Detroit (Resiliency Center)

Reports To: Resiliency Center Director

Position Type: Full-Time / Non-Exempt

Position Overview

The Administrative Assistant plays an essential role in supporting the daily operations of the Resiliency Center, ensuring that clients, Navigators, clinicians, and the Director are well-supported and that the Center functions smoothly and efficiently. Working under the direct supervision of the Resiliency Center Director, this position is responsible for coordinating client intake and scheduling, tracking program and grant-related data, and providing compassionate, trauma-informed administrative support to individuals and families served by the Center. The ideal candidate is highly organized, detail-oriented, and committed to supporting the Center's mission of fostering healing and resilience in the aftermath of the Temple Israel incident.

Principal Accountabilities

Client Support & Intake Coordination

  • Assist with client referrals, intake coordination, and scheduling via phone, email, and the Center's case management system.
  • Support clients between appointments by collecting intake information and helping track follow-up and service outcomes.
  • Provide clients and community members with basic education about available resources and assist in connecting them to appropriate referrals.
  • Serve as a compassionate first point of contact for clients and visitors, many of whom may be navigating a difficult or sensitive time.

Operational & Administrative Support

  • Coordinate scheduling and logistics between the Director, Victim/Survivor Navigators, and clinicians to ensure continuity of client care.
  • Serve as a liaison between billing, case management systems, and the Center's administrative records.
  • Perform general office support duties, including supply ordering and maintaining an organized, welcoming office environment.

Program & Grant Data Support

  • Collect, track, and compile data related to client participation, service utilization, and community engagement across the Center's programs.
  • Prepare and organize data required for grant reporting and other fiduciary obligations, in coordination with the Director.
  • Support the Director in preparing recurring progress reports by consolidating metrics and outcome data from the Communications & Outreach Coordinator and Navigators.

Minimum Qualifications

Education: Bachelor's degree in business administration, human services, or a related field. Commensurate experience may be considered.

Experience: Experience: Minimum of three (3) years of administrative or office support experience, preferably within a nonprofit, healthcare, or social services setting, including experience with federal grant management (tracking deliverables, reporting deadlines, and compliance requirements).

Knowledge & Skills:

  • Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities simultaneously.
  • Comfort navigating confidential and sensitive client information with discretion.
  • Proficiency with electronic health records (EHR) or case management platforms, or willingness to learn.
  • Proficiency with Microsoft Office applications.
  • A compassionate, trauma-informed approach to client and administrative interactions.
  • Commitment to equity, inclusion, and the value of resilient communities.

Work Environment & Physical Requirements

Schedule: Full-time (40 hours/week), primarily daytime hours.

Environment: Primarily office-based, with frequent client interaction requiring sensitivity, discretion, and professionalism.
