Job Description
POSITION SUMMARY
The Office Coordinator works under close supervision of the Area Clinical Coordinator and the Regional Director of Operations, and performs tasks that do not require professional training or education. The Office Coordinator is located in designated rehab departments also meets therapists' needs as well as routine tasks assigned.
MAIN FUNCTION
The Office Coordinator assists the Therapists, Area Clinical Coordinators and Regional Director of Operations in administrative duties.
POSITION DUTIES/RESPONSIBILITIES
A. Office Coordinator receives work assignments of administrative tasks from the Area Clinical Coordinator and Regional Director of Operations.
B. Office Coordinator obtains supplies necessary for use in therapist's patient treatments. Such as doing laundry (on site) and changing linens (pillowcases) as needed.
C. Office Coordinator observes patients and notifies therapists of patient distress or malfunctioning equipment.
D. Office Coordinator maintains the neatness of Therapy Department as requested by the Area Clinical Coordinator and Regional Director of Operations
E. Office Coordinator completes other tasks to assist in safe and efficient operations within the therapy department.
F. Office Coordinator assists in creating lists for supplies necessary for use in various facilities.
G. Office Coordinator assists in maintenance of administrative record keeping systems.
H. Office Coordinator communicates and coordinates the needs of the Area Clinical Coordinator and the Regional Director of Operations in a timely and constructive manner regarding the various facilities and topics including but not limited to customer service, caseload, and time sensitive documents.
I. Office Coordinator greets patients and assists them to check in, occasionally opening the door as needed
J. Office Coordinator schedules patient's future visits, answering phones, responding to emails in a timely manner.
K. Office Coordinator is willing to learn and use technology and software to aide in organizing and reporting information including but not limited to Excel, Word, proprietary EMR, smart phone, Google docs, 3CX.
L. Office Coordinator is responsible for scheduling new evaluations within 48 hrs of calling with insurance info.
PHYSICAL DEMANDS
- Must be able to lift 35 pounds. Safe moving, lifting or transferring of patients is required.
- Must be able to stand for extended periods of time.
- Must demonstrate appropriate and applicable fine motor skills.
- Must demonstrate adequate visual acuity for safety with patient interactions
