Unit Secretary - Med-Surg

  • Position Summary
    • The Unit Secretary performs clerical duties associated with the department. Processes documentation, including patient charts, per UNC Health Appalachian and departmental policies. Answers phones and call lights. Receives and directs incoming calls. Greets visitors, answers telephones, screens calls, and approaches internal and external customers promptly and courteously, consistent with the mission, vision, values, policies, and procedures of UNC Health Appalachian. Ensures proper communication by recording messages, creating and maintaining schedules, taking notes/minutes, scheduling rooms, and assisting with meetings and event planning for the unit as requested.
    • The Unit Secretary integrates knowledge and skills with effective interactions to provide quality patient care and useful diagnostic information. Provides direct and indirect ways to communicate with those who need it, meeting the needs of each encounter, in-line with their scope. Decisions and actions with patients and families are determined in an ethical manner practicing compassion and respect for the inherent dignity, worth, and unique attributes of each person. Effectively communicates with patients/families, visitors, colleagues, physicians, leadership, and volunteers.

Always assists coworkers, patients, families, and visitors regardless of the patient assignment, so long as the assistance is in-line with their scope.
  • Position Qualifications
    • Minimum Education
      • High School Diploma or GED is required.
      • Advanced coursework in business or medical terminology is preferred.
    • Experience
      • One (1) year of prior experience in a medical or office setting preferred.
    • Required Registration/License/Certification
      • Basic Life Support (BLS) from the American Heart Association is required at the time of hire.
    • Knowledge, Skills and Abilities
      • Ability to communicate courteously and effectively with the public, patients, family, staff, and physicians and acts within the chain of command, utilizing positive verbal and non-verbal skills.
      • Ability to demonstrate exceptional customer service to patients, family, staff, and physicians.
      • Typing, computer skills, word processing, mathematical skills.
      • Must possess excellent written, oral, and computer communication skills.
      • Must have the ability to coordinate and organize details.
      • Must be able to have a personable approach.
      • Must have the ability to coordinate multiple tasks.
    • Physical Demands
      • Manual dexterity and mobility.
      • Prolonged, extensive, or considerable sitting and, at times, standing/walking.
      • Bending, squatting, twisting, turning.
      • Near acuity: ability to see clearly at 20 inches or less.
    • Working Conditions
      • Regularly exposed to the risk of blood-borne diseases.
      • Frequently exposed to hazards from electrical/mechanical/power equipment, odorous chemicals and specimens, and unpleasant elements (accident, injury, slippery surfaces, uneven surfaces), etc.
      • Subject to irregular hours (days, evenings, nights, weekends, holidays) and emergencies.
      • Continuous sitting or standing most days > 8 hours per day.
      • Episodes of walking/standing greater than > 2 hours per shift.
      • Speaking, reading, and writing > 8 hours per day.
      • Needed with frequency: lift, carry, push, and/or pull < 30 lbs.
      • Frequently per shift: bends, squats, kneels, twists, turns, and reaches.
      • Frequently per minute: hand, finger, and wrist repetition and moderate dexterity.
      • Frequently per hour, exposed to soft voices > 3 ft. away.
      • Frequently per hour, exposed to close eye work.
