Job Description

POSITION SUMMARY

The Temporary Troop Support Specialist supports successful new troop development by providing intentional onboarding, guidance, and mentorship to new troops and co-leaders throughout their first year with Girl Scouts. This role ensures new leaders and troops have the tools, training, and connections needed to deliver a high-quality Girl Scout experience across all Council areas. As a key steward of volunteer and membership data, the specialist also uses Salesforce and Looker to maintain accurate records and turn that data into timely, targeted support for new troops

ESSENTIAL FUNCTIONS:

  • New Leader and New Troop Onboarding
      • Oversees all new leader and new troop onboarding processes.
      • Ensures completion of all required training for new leaders.
      • Facilitates introductions between new leaders and the appropriate Service Unit.
      • Reviews troop rules, guidelines, and expectations with leaders.
      • Collaborates with the Assistant Director of Recruitment and New Troop Development on the planning and delivery of New Leader Welcome Meetings.
  • First-Year Troop Support
  • Provides ongoing, proactive support to first-year troops throughout all nine counties of GSWNY, with oversight from the appropriate supervisor and support from the Community Engagement Specialist (CES) and Placement teams.
  • Reinforces co-leader engagement with the Volunteer Toolkit and other volunteer resources to support successful troop start-up.
  • Encourages participation in Council training opportunities, Fall Product Program, Spring Cookie Program, summer programs, and troop and council camp experiences.
  • Proactively reaches out to troops that lack sufficient leadership coverage and works to address gaps.
    • Troop Logistics and Operational Support
  • Assists leaders with securing meeting locations and completes building use forms when needed.
  • Coordinates Certificates of Insurance for meeting locations, including annual renewals.
  • Attends troop parent meetings when needed, and coordinates with other team members to ensure continuous support is available.
  • Provides direct, in person assistance to volunteers, youth members, and parents.
  • Volunteer Systems and Data Management
  • Accurately enters, modifies, and updates troop, member, and volunteer accounts in Salesforce, including new troop setup, co-leader assignments, transfers, and membership status changes, and documents all contacts and follow-up steps.
    Monitors volunteer eligibility and onboarding status, including required training and membership, and follows up promptly on open items.
    Reads, understands, and applies Looker reports (new troop status, leadership coverage, onboarding completion, renewal and retention) to identify gaps, track progress toward goals, and decide the next best action.
    Partners with Customer Care, Data Analytics, and Placement teams to resolve data discrepancies and report system issues.
      Collaboration and Team Support
  • Collaborates with Placement Specialists and CES team members to ensure best practices for new troop support are implemented consistently across the department.
  • Provides consistent, positive mentorship to team members across the department.
  • Supports council-wide, regional, and functional initiatives as assigned.
    • Girl Scout Experience Box
  • Manages responsibilities related to the Girl Scout Experience Box as defined by GSUSA guidance provided in the spring.
    • Additional Responsibilities
  • Performs other duties as assigned in support of Council goals and priorities.
  • EXPERIENCE & QUALIFICATIONS

    • Strong interpersonal and customer service skills, particularly by phone and email
    • Highly organized and task-oriented with strong follow-through
    • Self-motivated with the ability to manage responsibilities independently
    • Experience in recruitment, sales, customer engagement, or lead conversion preferred
    • Ability to confidently communicate the Girl Scout mission and value proposition
    • Proficient with Microsoft Office (Word, Excel, Outlook) and CRM systems such as Salesforce
    • Ability to learn and effectively use Salesforce and related tools; some prior experience with Salesforce or similar CRM platform is preferred.

    HOURS & TRAVEL REQUIREMENTS

    • 20% travel required; must have reliable access to a vehicle
    • On-site work required
    • Evening and weekend work is expected

    GIRL SCOUT MEMBERSHIP REQUIREMENT

    All employees of Girl Scouts of Western New York are required to maintain an active annual membership. New hires must enroll within 30 days of employment, and membership must be renewed annually.
