Description:

The Operations & Mail Support Associate will perform a variety of duties which provide support to the Operations team, Facilities team and to the organization as a whole. This position will interact with all levels of the organization, as well as provide exceptional customer service to visitors of the Jewish Federation of Greater Philadelphia. Wearing many hats, the Operations & Mail Support Associate will multi-task and prioritize daily, ensuring that s/he is familiar with all aspects of his/her role, and understands where to dedicate his/her efforts and at what times. The Operations & Mail Support Associate will be flexible in his/her tasks, understanding that they may need to shift gears quickly to accommodate organizational needs as they arise.

Essential Duties and Responsibilities:

  • Answer, screen, and forward incoming calls
  • Welcome all guests and provide exceptional customer service
  • Act as a liaison between guests and all departments, informing departments of arrivals
  • Receive, sort and upload all mail into the Envoy system after processing
  • Make occasional trips to the post office for priority outgoing mail
  • Complete check requisitions and submit invoices for approval
  • Monitor surveillance cameras when manning the welcome desk
  • Wipe down and sanitize the breakroom area on a daily basis
  • Respond to any immediate housekeeping concerns when notified
  • Prepare morning coffee and ensure sanitation compliance
Requirements:
  • Strong communication skills, both oral and written
  • Attention to detail
  • Excellent organizational skills
  • Proven ability to problem-solve
  • Ability to work independently
  • Takes initiative and has a willingness to work as part of a team
  • Ability to be flexible and shift focus to where the needs may be at the time
  • Hands-on experience with office equipment (e.g., mail machine, fax machines and printers)
  • Maintains a professional attitude and appearance
  • Ability to be resourceful and proactive when issues arise
  • Strong multitasking and time-management skills, with the ability to prioritize tasks
  • Previous experience in a similar role preferred
  • Knowledge of Microsoft Office required
