Field Event Sales Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Field Event Sales Coordinator based in the United States.

This is a highly organized, relationship-focused role supporting exhibitor and sponsor sales activities across a growing portfolio of internal events.
You will manage inbound inquiries, onboarding workflows, appointments, contracts, payments, and event deliverables to keep sales processes moving smoothly.
The role combines sales coordination, event operations, administrative ownership, and cross-functional collaboration in a fast-paced environment.
You will serve as a dependable point of contact for external partners while working closely with Sales, Events, Marketing, Billing, and other internal teams.
Strong follow-through will be essential as you track deadlines, maintain accurate records, identify risks, and ensure every commitment is completed on time.
The position is fully remote, offering significant autonomy while requiring proactive communication and accountability across distributed teams.
You will also have opportunities to support events on-site throughout the year and contribute ideas that improve processes and the overall partner experience.

Accountabilities:
  • Manage the exhibitor and sponsor email inbox, responding promptly and professionally to inbound questions, requests, and follow-ups.
  • Monitor inbound website inquiries and reactive leads, qualifying, triaging, and routing them to the appropriate team members.
  • Support the onboarding of new exhibitors and sponsors by providing required information, documentation, templates, and next steps.
  • Schedule discovery and follow-up appointments on behalf of the Senior Manager, Field Event Sales, ensuring meetings are coordinated efficiently.
  • Provide on-site operational support to exhibitors and sponsors during internal events, helping ensure a smooth and professional event experience.
  • Track unsigned contracts and proactively follow up with partners to keep agreements progressing toward completion.
  • Monitor deposit requirements and follow up on outstanding payments in line with agreed timelines.
  • Maintain accurate records of contract status, payment activity, partner information, and other account details.
  • Own the deliverable-tracking cadence for exhibitors and sponsors, ensuring required assets and materials are collected well ahead of event deadlines.
  • Maintain dashboards, trackers, and internal documentation that provide clear visibility into outstanding deliverables, deadlines, and risks.
  • Escalate potential delays, missing information, payment issues, or other risks to the Senior Manager when additional support is required.
  • Participate in regular one-on-ones and recurring meetings with Sales and Events teams to maintain alignment on priorities and upcoming activities.
  • Coordinate with Events, Marketing, Billing, vendors, sponsors, and other internal stakeholders to ensure information and documentation move efficiently between teams.
  • Maintain accurate exhibitor and sponsor records in the CRM and ensure internal documentation remains complete and up to date.
  • Identify recurring challenges, document observations, and contribute practical recommendations for improving workflows and operational processes.
  • Follow established compliance requirements and ensure necessary approvals are obtained before commitments or activities are finalized.
Requirements
  • 1–3 years of experience in sales support, account coordination, administrative sales, event coordination, or a closely related role.
  • Previous experience supporting sales, events, or operational activities in a fast-paced environment where deadlines, follow-up, and attention to detail are critical.
  • Strong organizational skills and a highly reliable approach to managing multiple priorities, timelines, deliverables, contracts, and follow-up activities without allowing important items to fall through the cracks.
  • Excellent written and verbal communication skills, with the ability to maintain a warm, professional, and service-oriented tone with external partners and internal stakeholders.
  • Strong interpersonal and relationship-building skills, with confidence communicating with exhibitors, sponsors, vendors, and cross-functional teams.
  • Comfortable working independently in a fully remote environment while remaining proactive, responsive, accountable, and closely aligned with team priorities.
  • Demonstrated ability to take ownership of workflows, anticipate upcoming needs, manage competing deadlines, and adapt when priorities change.
  • Familiarity with Google Workspace, Zoom, Slack, CRM platforms, and AI productivity tools such as ChatGPT and Claude.
  • Experience with SaaS or high-growth technology environments is a plus.
  • Background in event coordination, hospitality, customer-facing operations, or a similar relationship-driven environment is advantageous.
  • High school diploma or equivalent is required; a bachelor’s degree in Event Management, Communications, Marketing, Hospitality Management, or a related field is strongly preferred.
  • Strong attention to detail when managing contracts, payments, documentation, partner communications, and event deliverables.
  • Ability to work collaboratively across Sales, Events, Marketing, Billing, and other functions while maintaining clear ownership of assigned responsibilities.
  • Willingness to travel periodically to support internal events throughout the year.
