Job Description

Position Overview:

Responsible for overall coordination, status reporting, financial reporting, and stability of complex and cross functional project-oriented work efforts. Responsibilities include managing multiple projects and/or integrated projects simultaneously. Establishes and implements industry best practice project management processes and methodologies to ensure projects are delivered on time, within budget, adhere to high quality standards and meet or exceed the needs of clients. Negotiates and communicates changes regarding the scope, budget or schedule of the project; acts as the final decision-maker during all stages of the project life cycle.

Location:

Headquarters, Adel, Iowa – preferred.

Remote – acceptable.

Project Controls

  • Create, manage and archive project charter, statement of work, project plan, and all other project artifacts required during the project LifeCycle.
  • Collaborates in the development of the scope of the program when the project is part of a program.
  • Collaborates with project stakeholders in the setting of project goals and objectives.
  • Defines individual team member’s roles and responsibilities for the duration of the project.
  • Manages multiple mid to large scale projects ensuring that they will complete on time and within budget and that the solution aligns with/meets business objectives.
  • Coordinates the daily/weekly project team assignments and monitors progress against the work plan to assure that objectives are met within the prescribed time, cost, and quality measures.

    • Project Change Management

  • Identifies program level changes and the potential impacts to all related projects and initiatives.
  • Identifies potential changes, facilitates the determination of the potential impacts, identifies the recommended solutions and presents the recommendation to the Change Control Board for approval or rejection.
  • Updates and re-baselines the project plan and schedule to reflect approved changes.
  • Maintains the Project Change Management log documenting all changes along with the potential impact to schedule/scope/cost, the recommended decision and the current status.

    • Quality Assurance

  • Works with project quality assurance to ensure a quality implementation of project deliverables (technology, training, documentation, etc.) and that the new solution is adopted.
  • Ensures the quality of the overall program through constant monitoring, control and auditing of the various initiatives following proven PMI processes and procedures.
  • Reviews project work products/deliverables to assure results align with the methodology/support the project objectives.
  • Utilizes past lessons learned, on similar initiatives, to improve delivery of the program and/or projects.
  • Identifies potential process improvements, documents the lessons learned and provides recommendations.

    • Financial Management

  • Track project actuals and variances as required.
  • Meets financial objectives by forecasting requirements; preparing project/program budgets; scheduling expenditures; analyzing variances; initiating corrective actions.
  • Continually looks for ways to deliver the entire scope of the project, with the required quality while maintaining or even decreasing the overall cost.

    • Risks and Issues Management

  • Continually identifies, qualifies, and tracks risks, defining mitigation and contingency plans, assigning appropriate resources, and constantly communicating status.
  • Responsible for early identification of issues, determines potential resolutions, assigns the appropriate resources, communicates status, tracks and resolves them in a timely manner.

    • Resource Management

  • Identifies resource requirements and properly communicates those requirements in a timely manner to ensure the project is properly staffed with the skilled resources required.
  • Provides written reviews to the functional manager for each team member on project performance.
  • Continually monitors progress of tasks/activities, motivates team members to complete their work on-time and mentors, coaches, and disciplines as required.
  • Resolves issues regarding project/program performance, one-on-on with the Project Team Members.
  • Escalates unresolved or ongoing performance issues to the appropriate functional manager providing specific examples and details on the impact to the project.

    • Communication

  • Identifies internal and external stakeholders, understanding their communication requirements, defining a detailed communication plan and implements that plan.
  • Ensures a smooth transition through each phase of the Project and proper communication between the various responsible groups setting clear expectations and holding individuals accountable for their responsibilities on the program and within the various projects
  • Serve as the primary interface with internal and external stakeholders, and the project sponsor to ensure objectives and customer-focused requirements are defined and aligned with company directions.
  • Facilitates project meetings ensuring each has an agenda, supporting documentation is provided and action items and responsibilities are documented in the meeting minutes.
  • Provides weekly status updates to key stakeholders as defined in the Project Statement of Work.
  • Participates in Executive meetings related to their assigned programs/projects.
  • Effectively collaborate with Product Manager(s), Product Owner(s), ScrumMaster, Business Analyst(s), Developers, and technical leaders to ensure project milestones remain on schedule, within budget and meet the defined scope/deliverables for each project.

    • Mentoring and Training

  • Educates team members in project management principles, methods, processes and tools.
  • Keeps up-to-date and educated in skills related to all project management and ensures this information is disseminated throughout the project team.
  • Responsible for ensuring the project team utilizes the tools and standards, processes and procedures
  • Other duties as assigned.

    • Supervisory Responsibilities

  • This position does not have direct reports. Will supervise project team members to achieve maximum results within a project.

    • Requirements:

  • Proficiency with Microsoft Office applications, including SharePoint, MS Teams,
  • Microsoft Project and time tracking software.
  • Experience with Atlassian product suite (Jira, Confluence)
  • Knowledge of project management methodologies and tools.
  • Demonstrated ability to complete projects on time, on budget and with the approved scope.
  • Demonstrated ability to manage multiple large, complex and highly integrated software development, implementation, or technical consulting projects simultaneously in a technical environment.
  • Demonstrated leadership skills, including the ability to develop and motivate high-performing and diverse teams.
  • Proficient in defining stakeholder communication requirements and developing and delivering communication plans.
  • Excellent written and oral communication skills.
  • Demonstrated ability to identify, manage and mitigate risks.
  • Demonstrated ability to deliver project status updates and presentations to technical and non-technical audiences and to all levels of management.
  • Demonstrated ability to develop and deliver powerful project presentations.
  • Strong conflict management experience. Effective problem solving and negotiation skills.
  • Excellent meeting facilitation skills.
  • Ability to facilitate the accurate estimation of project activities and project budgets, and control costs while maintaining quality.
  • Proficient in process and standards development, implementation, and continuous improvement.
  • Ability to identify new opportunities to add value to clients through additional tools and/or services desired.
  • Proven Experience with software implementations and/or the software development life cycle projects.
  • Demonstrated experience working with Agile/Scrum workflow, processes and procedures - align project milestones to Agile epics, tasks, and deliverables.

    • EXPERIENCE

  • 6-12 years experience in Project Management or similar experience.
  • 6+ years experience leading technical and non-technical resources.
  • 4+ years experience working within the Agile methodology
  • Experience assisting teams with identification of action items, tasks, activities and tracking progress.
  • Experience at defining, implementing and continually improving standards, processes and procedures utilizing industry best practice
  • Experience in successfully working within a matrix organization structure.
  • Experience developing project budgets based on the development of Work Breakdown Structure (WBS); as well as Agile methodology
  • Experience working with variable resources – variable resource models
  • Experience for identifying and tracking financial triggers for invoicing preferred.
  • Working knowledge and practical experience within the educational industry preferred.
  • Experience in Consulting Services desired.

    • EDUCATION / CERTIFICATIONS

  • Bachelors Degree - Business or Technology or equivalent experience.
  • PMP Certification preferred
