About This Position

Summary

The Repair Coordinator will manage the internal workflow of repair jobs from intake to completion, focusing on accurate system updates, documentation, and coordination with technicians and internal teams rather than direct customer interaction. This role is heavily computer-based and requires strong Salesforce skills and attention to detail.

Responsibilities
  • Enter and maintain all repair orders, equipment details, and status updates in Salesforce and the repair/ERP system.

  • Create and manage internal work orders, tasks, and purchase orders to keep technicians’ repairs on pace.

  • Attach and organize digital documentation (photos, estimates, test reports, vendor quotes, and invoices) under the correct records.

  • Monitor repair status (received, in diagnostic, waiting on parts, in progress, completed) and flag bottlenecks or delays to supervisors.

  • Coordinate internally with shipping, inventory, and operations to ensure required parts and materials are available for scheduled work.

  • Run and update simple Salesforce reports/dashboards showing open repairs, turnaround times, and workload by technician.

  • Maintain accurate logs for warranty claims, returns, and vendor repairs and ensure documentation is complete for each case.

  • Support internal users with Salesforce navigation and data-entry questions related to repair workflows.

Requirements
  • 2+ years in a coordinator, maintenance/repair support, or service desk role focused on internal operations rather than customer-facing work.

  • Proven day-to-day Salesforce user experience (creating/updating records, tasks, activities, and basic reports; admin experience is a plus but not required).

  • Strong general computer skills: fast, accurate typing; confident with web apps, email, spreadsheets, and shared file systems.

  • High attention to detail, especially with serial numbers, part numbers, and technical descriptions in work orders.

  • Solid written communication for clear internal notes and handoffs between technicians, purchasing, and management.

  • Ability to juggle multiple open jobs, follow through on pending items, and work in a fast-paced repair environment.
