Position Summary

We are seeking a motivated and detail-oriented Co-op Student to support the Branch Operation with day to day activities and special projects. This role offers hands-on exposure to business operations, performance measurement, and cross-functional collaboration.

This role participates in the co-ordination hub between customers, technicians, and management - driving scheduling efficiency, administrative accuracy, and a high standard of customer service.

This role is ideal for a curious and resourceful problem-solver who enjoys fast-paced environments. The successful candidate will contribute innovative ideas, build tools, improve delivery performance, and help reduce costs across the organization.


Key Responsibilities

• Manage incoming calls, emails, and customer correspondence with professionalism, responsiveness, and urgency

• Maintain accurate records, documentation, and filing systems in an organized and timely manner

• Process service-related documentation with a high degree of accuracy and attention to detail

• Support branch operations through effective administrative coordination

• Coordinate routine and preventative maintenance scheduling to maximize technician efficiency and service delivery

• Coordinate emergency service calls with urgency, accuracy, and sound judgment

• Provide technicians with complete, accurate, and timely job and site information

• Confirm appointments, scope of work, and service details with customers

• Support real-time scheduling adjustments in response to operational priorities and changing field demands

• Build and maintain strong customer relationships through responsiveness, reliability, and professional service

• Support branch leadership and field teams with day-to-day operational and administrative coordination

• Ensure clear and effective communication between office staff and field operations

• Contribute to the continuous improvement of scheduling, administrative processes, and branch efficiency

• Support the development, tracking, and reporting of key performance indicators (KPls)

• Collect, analyze, and interpret operational data to support decision-making

• Contribute to operational excellence and continuous improvement initiatives

• Provide ad hoc analysis and administrative support as required

• Develop a Co-op Training Manual to support onboarding and future team member success

• Assist with the preparation of presentations and other business materials

• Perform other duties and support special projects as assigned


Qualifications

Education:

• Currently enrolled in a post-secondary program (Business, Supply Chain, Operations, Engineering, or related field preferred).

• Experience in a people related environment. (Coaching, Service, Volunteer)


Skills and Experience:

• Proficiency in Microsoft Office Suite with a focus on Microsoft Excel (pivot tables, formulas, basic data analysis)

• Experience with Vista ERP (asset).

• Familiarity with PowerPoint and data visualization tools

• Strong organizational and time-management skills; able to prioritize effectively.

• Self-starter with the ability to work independently and in a team environment.

• Strong interpersonal skills and the ability to communicate clearly and concisely.

• Detail-oriented with a high degree of accuracy and reliability
