Description:

Pono Aina Management LLC is currently seeking an Administrative Support Specialist to join their team. This critical front-line role provides comprehensive, high-level administrative, operational, and security support to the Australian Liaison Office (LO) and all embedded Australian Defense Force personnel at Patuxent River, Maryland. The position serves as the first point of contact for visitors, manages daily office operations, handles sensitive classified information, and ensures smooth administrative support in a secure, fast-paced, bi national defense environment supporting the Royal Australian Air Force’s F/A-18F Super Hornet and EA-18G Growler programs.

Key Responsibilities:

  • Serve as the primary front-desk receptionist and manage all visitor control, including issuing badges and maintaining the classified visitor register
  • Handle all classified document control, safe-hand transportation, storage, and tracking in accordance with Australian and U.S. security regulations
  • Manage incoming and outgoing correspondence using the Australian Defense Organization mandated records management system
  • Coordinate staff movements, incoming/outgoing personnel, foreign visit requests, and base access facilitation
  • Maintain and update administrative documents, instructions, LO media, and the RAAF TLO SharePoint site
  • Support asset management, including ordering, receiving, auditing, and tracking of office equipment and supplies
  • Act as the Facility Security Subject Matter Expert — assist with security clearances, annual visit request renewals, and security inspections
  • Provide full administrative support to the LO and ADF personnel, including travel coordination, meeting logistics, and event support
  • Manage office equipment maintenance, supplies, and general operational readiness
  • Perform other administrative duties as directed by the Commonwealth Representative

Mandatory Requirements:

  • U.S. or Australian Citizenship
  • Current or ability to obtain a U.S. SECRET clearance (or Australian AGSVA equivalent)
  • Minimum 5 years’ office administration experience in a complex, dynamic, and high-tempo work environment
  • Demonstrated experience working with classified information and in secure government or defense facilities

Important Requirements:

  • Strong knowledge of office procedures, records management, and correspondence control
  • Experience with visitor control, foreign visit requests, and base access processes
  • Previous experience as a Facility Security Officer or security administration
  • Excellent written and verbal communication skills
  • High attention to detail and ability to manage multiple priorities with minimal supervision
  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, Teams, SharePoint)

Physical Requirements:

  • Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Requires the ability to walk short distances.
  • Exerting up to 15 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. the worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
