This role sits at the heart of clinical operations project coordination, ensuring smooth execution of project logistics, documentation, and cross-functional alignment across global teams. You will support project leaders in managing timelines, systems, reporting, and operational workflows that enable efficient delivery of clinical research initiatives. The position involves working within a structured, regulated environment where accuracy, compliance, and coordination are essential. You will contribute to project planning, execution, and close-out activities while ensuring consistency across systems and processes. In addition to operational support, you will help track financial and vendor-related activities, supporting overall project performance. This is a highly collaborative role that requires strong organizational skills and the ability to manage multiple priorities in a fast-paced, global matrix environment.
- Support the setup and maintenance of project management plans, systems, and tools in alignment with applicable SOPs and project leader guidance.
- Maintain and update integrated project systems, ensuring accuracy of project data, documentation, and reporting metrics.
- Assist in project initiation activities, including training setup, resource tracking, vendor coordination, and system access management.
- Monitor project progress through reporting, highlighting issues, risks, and deviations for review by project leadership.
- Track and analyze financial elements such as pass-through costs, time entries, and budget-related data with project input.
- Coordinate project meetings, prepare materials, track action items, and ensure timely follow-up across stakeholders.
- Support vendor management activities including invoice review and study supply coordination.
- Assist in project close-out activities, ensuring proper documentation, system closure, and handover processes.
- Provide operational support to clinical operations leaders through reporting, tracking tools, and system compliance activities.
- Contribute to training, mentoring, and knowledge sharing depending on experience level.
- Bachelor’s degree or equivalent qualification.
- Experience in project coordination, operations, logistics, or clinical research support roles preferred.
- Understanding of project management fundamentals, reporting, and operational workflows.
- Strong organizational skills with the ability to manage multiple tasks in a structured environment.
- Good analytical and problem-solving abilities with attention to detail.
- Strong communication skills in English, both written and verbal.
- Proficiency in Microsoft Office tools and familiarity with project or data management systems.
- Ability to work effectively in a global, matrixed environment across multiple stakeholders.
- Client-focused mindset with flexibility and adaptability to changing priorities.
- Knowledge of clinical research processes, ICH/GCP guidelines (preferred for senior level).
