Job Description
The main duty of a transportation dispatcher is to perform routine, recurring vehicle dispatch and recordkeeping duties. The dispatcher receives, processes, plans, schedules, and assigns vehicles for approved vehicle requests. They assign the drivers to their respective vehicles and make sure that they leave and arrive according to schedule. Prepares a variety of documents pertaining to dispatching and vehicle maintenance requirements. Dispatcher is required to process records/files in the automated systems on the status of vehicle requirements. Utilizes the advanced functions of word processing software to create, format, modify, edit, and print a variety of letters, reports, memos, and other documents.
Essential Functions of the Position
- Responsible for the assignment of motor vehicles and drivers for conveyance of freight or passengers.
- Maintains and updates daily tracking system for vehicle status and availability.
- Maintains inventory list of GSA and Army Owned vehicles.
- Checks driver credentials and issues keys and dispatch documentation.
- Records time of departure, destination, cargo, and expected return time in accordance with mission requirements.
- Monitors vehicles due for dispatch and vehicles overdue for dispatch.
- Maintains record of mileage, fuel used, repairs made, and other expenses.
- Assigns equipment to drivers, and directs activities of drivers, ,
- Focus on the daily operation and dispatching of drivers in accordance with contract requirements and in compliance with state and federal regulations
- Monitor and respond to all communication while maintaining appropriate etiquette on phones and radios.
- Conducts joint PMCS inspection to ensure that mechanical, safety, and emergency equipment is in good working order, and report issues/concerns.
- Support the planning team with work assignments needed to backfill during busy times.
- Conducts and completes risk assessments before any mission.
- Conduct safety briefs with team prior to any mission.
- Responsible for completing all training requirements.
- Read, understand, and implement the general and specific safety, quality and environmental requirements of all plans, procedures and policies pertaining to job.
- Maintains a clean and safe work environment.
- Provides reports and statistical data of all activities.
- Must take and pass drug screening and undergo random drug and alcohol testing.
- Performs other duties as assigned.
Physical Demands
- Walking, sitting, stepping, climbing, or otherwise moving from one location on the job site to another, may involve physically getting into and out of vehicles/equipment.
- Ability to stoop, kneel, squat, and stand for long periods of time.
- Ability to lift and/or move up to 25 pounds.
- Frequently works in high temperatures.
- Occasionally works around loud noises.
- Occasionally works around fumes.
- Ability to perform repetitive movements by feet, shoulders, arms, wrists, hands and back in performance of work.
Security Requirements
• Must be a US Citizen.
• Must be able to pass a National Agency Check with inquiries.
Work Environment
- Indoor/Outdoor; exposure to external environmental conditions.
- Noise level can range from minimal to intense.
Minimum Qualifications
- Two (2) years in a dynamic dispatch environment preferred.
- Must be able to work a flexible work schedule to include varying shifts, weekends, and holidays.
- Ability to perform multiple tasks during peak hours and remain calm and supportive of drivers.
- Positive attitude and customer service experience.
- Ability to work independently and as part of a team.
- Integrity and the ability to handle confidential information.
- At least one year of specialized experience involving the dispatching or scheduling of motor vehicles.
- Should have skill in compiling and composing both quantitative and narrative reports for a variety of agencies based on data analyses and circumstances.
- The ability to communicate effectively with a diverse group of individuals, both orally and in writing, is also required.
- Possess a valid drivers’ license.
- Must be able speak, write, read, and understand English.
- Must be adaptable, flexible, and able to adjust to new or changing instructions.
- Must be able to multi-task and complete assignments accurately and on time.
- Must take and pass drug screening and undergo random drug and alcohol testing.
Security Requirements
- Must be a US Citizen.
- Must be able to pass a National Agency Check with inquiries.
- Must pass the National Agency Background Check and obtain computer access.
This is your primary position. Alternate positions will only be engaged at the direction of the supervisor.
