ROLE DESCRIPTION & RESPONSIBILITIES

GENERAL DESCRIPTION:

The Marketing Coordinator supports execution of marketing initiatives, proposal development, and sales enablement activities that drive pipeline growth. This role ensures marketing efforts are delivered efficiently while maintaining strong alignment with sales and revenue objectives.

DUTIES AND RESPONSIBILITIES:

Sales Enablement

Maintain sales document repository Execute marketing plans, campaigns, and content updates Maintain marketing materials, collateral, and databases Lead the end-to-end RFP and bid process from intake to submissionReview RFP requirements and develop a clear response strategy and timelineManage proposal calendars, deadlines, and deliverablesCoordinate bid/no-bid decisions with leadership

Proposal Development and Support

Support/lead the end-to-end RFP/RFQ/RFI process, including intake, coordination, writing, and submission Support development of client presentations and pitch materialsPrepare teams for oral presentations or interviews; align messaging across written proposals and live presentationsManage proposal timelines, deadlines, and submission requirements Develop and maintain proposal templates, boilerplate content, and bid libraries


Partner with sales, construction, and leadership teams to develop compelling, compliant proposals Ensure all submissions align with brand, messaging, and client requirements Maintain reporting for campaigns and lead generation Support go/no-go decision-making for pursuits Develop compelling, client-focused proposals aligned with win strategyTranslate technical, operational, and pricing inputs into clear, persuasive narrativesTailor responses to reflect client needs, industry trends, and competitive positioningEnsure proposals highlight value, differentiation, and brand strengthsEstablish and improve proposal processes, workflows, and tools as neededTrain and guide team members on proposal process

Content Management & Quality Control

Ensure brand consistency across all materials and communications Maintain and update a proposal content library (templates, case studies, resumes, boilerplate)Ensure all submissions are accurate, compliant, and high qualityReview proposals for consistency, tone, branding, and completenessManage version control and final packagingCollaborate with finance and leadership on pricing strategy and structureEnsure alignment between scope, pricing, and client expectationsSupport development of competitive and profitable bids

Compliance & Risk Management

Improve workflows and tracking systems for marketing activities Ensure proposals meet all RFP requirements and submission criteriaIdentify and mitigate contractual or commercial risksCoordinate with legal or leadership on terms and exceptionsMaintain compliance with internal policies and external regulations

Marketing Execution, Event & Coordination Support

Maintain external content, sites and updates Develop newsletters, PR content, and marketing materials Coordinate events, sponsorships, and conferences with Client Engagement Team, Sales and other cross functional teams as neededSupport compelling, client-focused narratives that clearly communicate valueDevelop and maintain case studies, project profiles, and client success storiesCreate reusable marketing collateral for proposals and business developmentBuild and manage a content library (boilerplate, resumes, visuals, testimonials)Ensure messaging reflects market trends, client needs, and competitive positioningCreate and align win themes, key differentiators, and positioning strategyEnsure proposals tell a cohesive story from start to finish

Performance Tracking

Support logistics and travel coordination for sales initiativesTrack win/loss data and proposal performance metricsTrack marketing performance, pipeline activity, and ROI Lead post-submission debriefs to identify improvementsContinuously refine proposal processes, templates, and strategiesStay informed on market trends, competitors, and client expectations


What Success in This Role Looks Like:

Success in this role is demonstrated by consistent execution of marketing initiatives that support pipeline growth and sales efforts. The Marketing Coordinator delivers accurate reporting, strong collaboration, and timely support across marketing and sales functions.

KEY SELECTION & SUCCESS FACTORS

WORK EXPERIENCE:

5+ years of experience in marketing, communications, or related field Strong technical writing and proposal development experience; supporting proposals, sales enablement, or campaign execution preferred Proven experience managing RFP/RFQ processes in construction, AEC, or similar industries Experience with Adobe Creative Suite (Illustrator, Photoshop, InDesign) preferred Experience in a fast-paced, deadline-driven environment preferred


EDUCATION REQUIREMENTS:

Bachelor’s degree in Marketing, Communications, Journalism, Graphic Design, Business, or related field preferred; equivalent work experience may be considered


PREFERRED QUALIFICATIONS:

Ability to work under tight deadlines and competing priorities Experience collaborating with sales, operations, and leadership teams on pursuits High attention to detail especially when ensuring compliance requirements and commitment to quality deliverablesStrong written and verbal communication skills with attention to detail Experience with digital marketing tools, social media platforms, and content management Ability to manage multiple priorities and meet deadlines in a dynamic environment Proficiency in Microsoft Office (Word, Excel, PowerPoint) Basic understanding of web content management and marketing analytics Strong organizational and project coordination skills Ability to work independently while collaborating cross-functionally

TRAVEL/WORK REQUIREMENTS:

    A valid driver’s license and motor vehicle record that meets Company safety, operational, and insurance standards are required, as business travel between company locations, client sites, project sites, and other off-site destinations may be required.

  • Employee occasionally walks on level surfaces to: interact with all operational departments, retrieve needed materials, to access lobby display, and attend meetings. Duration 45 minutes per day; Distance up to 1,500 feet per day

  • Employee continuously sits using the computer, talking on the phone, processing project paper work, and attending. Duration up to 7 hours per day
