Advanced Laser Systems Technology (ALST) has an immediate opening for a Business Operations Specialist. ALST is located in Orlando, Florida and is part of Intelligent Manufacturing Solutions (IMS) which is headquartered in Londonderry, NH. Requirements:Job Summary
Responsible for site AFSO activities including conducting visitor management and administering onsite access control. Serves as Trade Compliance representative ensuring company’s import and export activities adhere to international, federal and local regulations. Oversees daily office operations ensuring efficiency and providing administrative support, including scheduling, travel coordination, and expense management.
KEY RESPONSIBILITIES
- Information & Physical Security (Alternate Facility Security Officer):
- Backup support to FSO who implements and manages the organization’s industrial security program to maintain a Facility Security Clearance (FCL).
- Responsible for physical security including protecting classified information, managing facility access and visitor management.
- Train employees and supervise security procedures.
- Assist with government audits.
- Trade Compliance:
- Secures licenses, audits shipments and trains staff.
- Oversees International travel
- Identifies and mitigates risks related to trade, including restricted party screenings and country-of-origin validation.
- Monitors changing trade laws, conducts internal audits and executes corrective actions.
- Track and report daily and monthly trade compliance metrics.
- Office Operations:
- Provides administrative support for customer-related activities including business courtesies, scheduling meetings, managing calendars, travel & expense coordination and training, assisting leadership and staff, organizing company events.
- Supports HR/Recruiting team with new hire onboarding & contractor onboarding including citizenship verifications, building access badging, and site-specific new hire training, and conduct timecard & building access training.
- Facility:
- Budget, track, and managing office supplies.
- Supports IT with maintaining asset list
- Other duties as assigned
REQUIRED CAPABILITIES
- U.S. Citizenship required
- Ability to obtain and maintain a Personnel Security Clearance (PCL)
- Hold and maintain DCSA Facility Security Officer Training Certification
- Ability to complete Certified Compliance Specialist training within 6 months of assignment
- Demonstrated ability to work with and maintain confidential information
- Strong project management skills and multitasking abilities
- Knowledge of FAR/DFAR’s/ITAR and Trade Compliance laws
- Excellent communication (written/verbal) and interpersonal skills
- Proficiency in MS Office Suite
- Problem-solving and decision-making capabilities
- Self-motivation and high attention to detail
- Able and willing to take on new projects and learn additional aspects of the operation.
- Ability to work efficiently under pressure and to tight deadlines.
- Ability to work additional hours, evenings and weekends, to meet customer commitments and business needs
EDUCATION / EXPERIENCE
- High School Diploma plus 10 years of administrative support experience at a senior level
- 4+ years’ experience conducting training on various business topics
- 2+ years serving in an AFSO capacity
- Experience with OCR EASE
- Experience in a government contracting/manufacturing environment.
